As part of the FTSE Russell Policy Team, the Committee Secretary is a key member of the global FTSE Russell Committee Secretariat which plays a meaningful role in the maintenance, management and evolution of FTSE Russell’s suite of multi-asset indices. The focal point of the role involves creating and maintaining relationships with members of the FTSE Russell external advisory committees, comprising approximately 300 market practitioner committee members drawn from the asset management industry, asset owner community, academia and consultancy. As a core component of the FTSE Russell Governance Framework, the committees are consulted to ensure that indices incorporate the highest standards of index governance and remain fit for purpose. The Committee Secretary is responsible for maintaining an archive of meeting materials, setting advisory committee meeting agendas, writing up minutes and following up on actions.
Reporting to the Global Lead Secretary for the Committee Secretariat, within the Policy Team, the Committee Secretary contributes to ensuring good practice in the functioning of the Committee Secretariat, including:
- Leading on committee meeting arrangements, compiling meeting agendas, taking minutes at non-recorded meetings, writing up minutes and following up on committee actions with meticulous attention to detail;
- Supporting the Global Lead Secretary and colleagues in the region for engagement with individual market authorities and policy makers including central banks, stock exchanges, ministries of finance, and regulators, for equity and fixed income country classification purposes;
- Collaborating and supporting technical colleagues in the Policy Team to ensure that proposed ground rule enhancements are documented for approval at the appropriate advisory committees and onward to the FTSE Russell Index Governance Board;
- Supporting the internal and external governance frameworks through the maintenance of an up-to-date suite of committee-related procedures, policies, protocols and trackers, while maintaining a secure, backed-up archive of committee meeting-related content;
- Maintaining the committee member contact database for committee members, liaising with new members for their appointment and helping ensure that the advisory committees are appropriately represented.
