Overview
It is a very exciting time to be joining the Patient Access Department – Outpatient Team at North Middlesex University Hospital. The post holder will have day‑to‑day responsibility for providing a high quality reception and clerical service to the outpatient clinics, including accurate recording of patient attendances on all appropriate hospital IT systems such as the PAS Medway.
The post holder will also be responsible for timely and accurate checking‑in and check‑out of patients, confirming attendances, answering the telephone for the Pre‑Assessment Department and Theatres, and liaising with the multidisciplinary team and other departments to answer queries. The role requires ensuring all patient notes are available in a timely manner.
Key Responsibilities
- Booking patients follow‑up onto the computer system and update all demographics details.
- Complete outcomes of clinics and accurately record the 18‑week pathway.
- Generate DNA letters to patients and GPs.
- Deal with telephone and face‑to‑face enquiries from staff, patients, relatives, and carers, providing information, directing and prioritising queries professionally.
- Communicate verbally in a sensitive and caring manner at all times.
- Plan, organise and prioritise workload to ensure service delivery meets specialist delivery directives.
- Work flexibly as part of a team, cross‑cover other staff across the service, and support junior staff as required.
- Track case notes and other documentation in line with Trust protocols, collecting notes from medical records as needed, and liaising with medical records staff for urgent requests.
- Report any service or performance shortfalls to Team Leaders and work as part of a team to address such areas.
- Monitor and report shortages in stock (e.g., stationery, paper) to Team Leaders for ordering.
- Undertake mandatory training, participate in the Trust Performance Development scheme, and adopt changes to improve efficiencies.
Qualifications & Experience
The successful candidate should be flexible with regard to occasional late shifts, have good IT skills, and experience in filing and other clerical duties. Previous experience of office or reception duties is essential, preferably within a healthcare setting, and all candidates must meet the criteria outlined in the person specification.
