Job DescriptionWe have an excellent opportunity to join the team supporting the Health & Safety function in delivering its strategy, plans, and procedures. This role will contribute to driving continuous improvement in Health & Safety performance across the firm’s UK operations.This position can be based either in London or East Midlands office.Key ResponsibilitiesDuties will include, but are not limited to:Audit and Administrative SupportAssist with audit processes, including:Booking meeting rooms and arranging cateringScheduling internal audits and maintaining the audit calendarPreparing and distributing communications (emails, posters, etc.)Fire Warden & First Aider CoordinationSupport fire warden and first aider processes, including:Producing monthly fire warden training reportsPreparing payment listsSending welcome communicationsOrdering and distributing first aid supplies, equipment, and fire warden jacketsInbox and Case ManagementMonitor the team inbox, including:Escalating urgent mattersResponding to general enquiriesChecking documentation for accuracy and completeness (e.G. correct versions of risk assessments)Logging Young Persons/NEMS risk assessmentsDocumentation and Systems ManagementEnsure H&S information, policies, risk assessments, and templates are accurate and up to date across systemsProvide updated documentation to key stakeholders, including office managers and service leadsMaintain accurate H&S records in line with required standardsConduct weekly reviews of the risk assessment checklistStock and CommunicationsManage stock levels of H&S materialsCompile and distribute the H&S newsletterHealth & Wellbeing SupportProvide administrative support for wellbeing initiatives, including:Sports team administration (e.G. invoice checks and approvals)Scheduling health fairsCoordinating flu vaccination clinicsMonitoring wellbeing classes/therapies to ensure compliance with training and insurance requirementsGeneral SupportMake updates to documentation as directed by managersSkills, Experience & AttributesExperience & SkillsStrong organisational and administrative skillsExperience providing support in a similar environment is desirablePrevious exposure to Health & Safety responsibilities is advantageous but not essentialPersonal AttributesSelf-motivated, reliable, and positive approachInquisitive, resilient, and proactiveCredible and professionalKeen to develop personal capabilityStrong team player with the ability to build positive working relationshipsEqual Opportunities at SPSWe are proud of the progress we have made in building a truly inclusive workplace, where equal opportunity is more than a principle — it is a commitment in action.Our diversity, equality, and inclusion approach recognises that a diverse workforce creates a richer and more dynamic working environment.
