The Opportunity

The Finance Systems Transformation Programme is a major change initiative that supports Arup’s Global Finance Vision. The programme will transform the organisation’s finance capabilities by enabling significant operational change through the worldwide implementation of Oracle Fusion ERP and EPM across Arup. Delivering a modern cloud‑based finance foundation will allow data and processes to be unified, enhancing decision‑making, increasing efficiency and improving user experience.

The PMO Support Analyst will provide project management office (PMO) support across the Finance Systems Transformation programme, ensuring effective governance, accurate reporting, and consistent application of programme standards. The role supports the Programme Directors, Project Managers, and Functional Leads by maintaining delivery controls, schedules, and artefacts that enable informed decision making. This is a fixed‑term contract forecasted to end in June 2028.

Role Overview

  • Maintain PMO governance frameworks, standards, and reporting cadence across the Finance Systems Transformation programme.
  • Track and maintain programme‑level and workstream‑level RAID logs, ensuring actions are progressed and escalations are visible.
  • Assist in the management of programme change control, including logging, impact assessment coordination, and approval tracking.
  • Maintain programme and workstream delivery plans, schedules, and milestone trackers in line with agreed planning standards.
  • Produce regular programme and workstream status reports, dashboards, and summaries for programme and wider business governance forums.
  • Support consolidation of updates from Project Managers into a coherent programme‑level view.
  • Support tracking of programme budgets, forecasts, and actuals in line with PMO processes.
  • Track resource demand, onboarding status, and utilisation across the programme.
  • Maintain key PMO registers and logs related to finances, resourcing, and vendor engagement.
  • Provide PMO support for programme forums, including preparation of agendas, packs, actions, and minutes.
  • Ensure timely distribution of materials and follow‑up of actions from programme and workstream meetings.
  • Act as a point of contact for PMO‑related queries from programme participants.
  • Ensure programme artefacts are stored, versioned, and managed in accordance with programme standards.
  • Support quality assurance activities by checking completeness and consistency of project documents and reports.
  • Assist with preparation for internal and external assurance or audit activities.
  • Support the use and configuration of PMO tools (e.g., planning, RAID, reporting templates).
  • Identify opportunities to improve PMO processes, reporting quality, and efficiency across the programme.

Qualifications and Experience

  • Experience in a PMO Support, PMO Analyst, or Project Support role within large transformation or IT programmes.
  • Strong understanding of project and programme governance, reporting, and control processes.
  • Experience maintaining plans, RAID logs, status reports, and programme documentation.
  • Strong organisational skills with a high level of attention to detail.
  • Ability to work effectively with multiple stakeholders across business and delivery teams.
  • Experience supporting ERP or finance system transformation programmes.
  • Familiarity with Oracle Fusion ERP programmes or similar large‑scale implementations.
  • Comfortable working with project planning and reporting tools (e.g., MS Project, Monday.com, Excel, PowerPoint).
  • Proactive, reliable, and able to manage competing priorities in a deadline‑driven environment.
