Job Overview
As our Business Coordinator for the Integrated Discharge Service, you will lead a dedicated team of administrators while coordinating the business processes that keep our discharge service running smoothly. You will drive quality improvements, manage stakeholder relationships, and ensure every patient receives the support they need for a successful discharge. This role offers unique experience working across the entire healthcare system, from acute hospital care to community partnerships.
Key Responsibilities
- Team Leadership and Management – Provide professional leadership to the administrative team, conducting supervision, appraisals, and performance management. Coordinate rotas, manage recruitment and induction processes, and support staff development.
- Business Process Management – Oversee all administrative processes, help create, review, and maintain standard operating procedures, implement business continuity plans, and ensure compliance with Trust policies and procedures.
- Quality and Performance Management – Generate and analyse quality and performance reports, monitor key discharge metrics, coordinate data collection, and support service improvement initiatives.
- Complaints, PALS and Incident Coordination – Manage the coordination and investigation of complaints, PALS enquiries, and incidents relating to IDS, ensuring timely responses and comprehensive tracking systems while supporting learning and improvement.
- Transfer of Care Hub Partnership Support – Work with ToCH partners on administrative aspects of discharge planning, support DRCR processes, and maintain effective communication with external stakeholders.
- Systems Management – Oversee multiple IT systems including CareFlow and Health Roster, ensure data quality and integrity, maintain information governance standards, and coordinate system training and support.
- Meeting and Communication Coordination – Provide administrative oversight for key IDS meetings, prepare agendas and minutes, coordinate communication between teams and external partners, and manage internal and external enquiries.
- Financial and Resource Management – Monitor administrative resource utilisation, support budget monitoring activities, coordinate procurement, and ensure cost‑effective use of resources.
Person Specification
Education and Qualifications
- Degree level education or equivalent experience in business administration, healthcare management, or a related field.
- Evidence of continuous professional development.
- (Desirable) Management qualification or willingness to undertake one.
Knowledge and Experience
- Substantial experience in an administrative or business coordination role with demonstrable progression and increasing responsibility.
- Experience of line managing a team of staff.
- (Desirable) Experience of working in an acute hospital environment.
- (Desirable) Experience of quality improvement projects or initiatives.
- (Desirable) Experience of complaint handling and customer service.
- (Desirable) Experience of working with external agencies and partnerships.
Skills and Qualities
- Analytical skills with proven ability to interpret data and produce meaningful reports for management purposes.
- Excellent written and verbal communication skills with evidence of working with multiple stakeholders.
- Strong organisational skills with ability to manage competing priorities and meet deadlines.
- Strong skills in using the Microsoft 365 package, primarily in creating, maintaining files within SharePoint, Excel, and PowerPoint.
- Knowledge of information governance and data protection requirements.
- Understanding of NHS structure, policies, and procedures.
