Role: Operations & Projects Coordinator

Location: 19 Alva Street, Edinburgh

(Edinburgh West End, 4 Storey Townhouse office – close to Haymarket Station and tram links)

Working Hours:

Monday – Thursday: 9:00am – 5:30pm

Friday: 9:00am – 5:00pm

(1-hour lunch break)

Working Pattern: Hybrid

(3 office-based days Monday–Thursday, with Friday as a flexible working day)

We are seeking a highly organised and proactive Operations & Projects Coordinator to join our Business Support team in Edinburgh.

This is a varied and fast-paced role suited to an experienced coordinator or operations professional who enjoys working across multiple business functions, managing priorities, and supporting high-performing teams. The successful candidate will play a key role in ensuring the smooth day-to-day running of the business while supporting operational projects, client delivery, network and partnership events, and internal coordination.

You will work closely with Recruitment Directors, the Research and Talent Attraction team, and wider business functions including events and finance, helping to maintain exceptional standards of client service, organisation, communication, and candidate experience.

This role offers the opportunity to become a central part of a collaborative and growing business, with exposure to senior stakeholders, strategic projects, and ongoing professional development.

Key Responsibilities

  • Provide administrative and operational support across the business, including support to Directors, the Talent Attraction team, and Business Support function in a proactive and engaging manner
  • Support the delivery of external events, partnerships, and business initiatives
  • Manage candidate and client communications, including front-of-house responsibilities, telephone enquiries, and email correspondence
  • Organise meetings, prepare meeting rooms, coordinate refreshments, and arrange catering where required
  • Support recruitment and project delivery through interview scheduling, coordination, and administration
  • Maintain and update CRM systems accurately and in line with GDPR requirements
  • Prepare meeting minutes, reports, presentations, and company information packs
  • Manage office operations including supplies, stock control, and deliveries
  • Assist with tender submissions, proposals, and business documentation
  • Support the production of client-facing materials and presentations
  • Assist with website updates and broader business projects as required
  • Provide flexible support to the Head of Business Support and wider leadership team

Skills & Experience

We are looking for someone who is:

  • Organised with excellent attention to detail
  • An effective communicator with strong written and verbal communication skills
  • Professional, proactive, and solutions-focused
  • Confident working independently as well as collaboratively within a team
  • Experienced in administration, operations coordination, project support, or business support roles
  • Comfortable engaging with senior stakeholders, clients, and candidates
  • Proficient in Microsoft Office applications including Word, Excel, and PowerPoint
  • Familiar with CRM systems and administrative processes

Experience within professional services, recruitment, consultancy, or a client-facing environment would be advantageous but is not essential.
