Role Description

This is a newly created full-time role based primarily on-site in Biggleswade.

The Business Systems & AI Co-ordinator will help support and optimise the group’s operational systems, software platforms, workflows and emerging AI infrastructure.

The successful candidate will work directly with senior management, operational teams and external consultants to help connect systems, improve processes, support automation projects and assist with the practical implementation of AI tools across the businesses.

This role is not purely IT support, nor purely theoretical AI development. We are looking for somebody who is commercially minded, technically capable and interested in improving how businesses actually operate day to day.

Key Responsibilities

  • Assist with implementation and co-ordination of AI tools and automation platforms
  • Support integration and optimisation of existing business systems
  • Help identify operational inefficiencies and opportunities for automation
  • Work with internal stakeholders and external technology partners to implement system improvements
  • Assist with administration and co-ordination of software platforms and user access
  • Support operational reporting, dashboards and workflow visibility
  • Create and maintain clear process documentation and SOPs
  • Assist with cybersecurity, permissions and governance processes
  • Research and evaluate emerging AI and automation technologies
  • Provide first-line systems support and user guidance where required

  • Amazon Seller/Vendor systems

  • ecommerce and reporting platforms

The business is actively exploring technologies such as:

  • ChatGPT
  • Claude
  • n8n
  • ClickUp
  • AI workflow automation
  • operational intelligence and reporting systems

Qualifications & SkillsEssential

  • Strong analytical and problem-solving skills
  • Excellent communication and organisational abilities
  • Strong interest in AI, automation and business systems
  • Good general IT and software understanding
  • Ability to manage multiple projects and priorities
  • Commercial awareness and practical thinking
  • Comfortable working in a fast-paced SME environment

Desirable

  • Experience with ecommerce, operations or business systems
  • Exposure to automation tools such as Zapier, Make or n8n
  • Familiarity with AI platforms such as ChatGPT or Claude
  • Experience with Microsoft 365 administration
  • Understanding of APIs, integrations or workflows
  • Cybersecurity awareness
  • Experience providing technical support or user training
  • Degree or equivalent qualification in Business, IT or related field advantageous but not essential

Important

Initially, the role will require a strong in-person presence within the business to properly understand operations, workflows and systems. Greater hybrid flexibility can develop over time as the successful candidate becomes embedded within the organisation and gains a deeper understanding of the businesses.

This role would suit somebody excited by the practical application of AI, systems and automation within real operational businesses rather than simply supporting legacy infrastructure.
