Job Description:

About the role: Reporting to the Senior Client & Hospitality Services Manager, you will be the first point of contact for visitors and clients — both in person and over the phone. As the face of CMS, you will create a lasting first impression by providing outstanding customer care and professionalism. You will coordinate client requests, manage meeting room bookings, and provide AV support to ensure seamless operations on the Client Floor. This role also involves supporting room setups, moves, and changes to maintain a world‑class environment.

Responsibilities

  • Meet and greet visitors and clients in a professional manner, offering and providing refreshments if required.
  • Demonstrate excellent customer service when answering telephone queries and welcoming clients and visitors.
  • Maintain a clean and professional environment across reception and client meeting areas.
  • Manage room bookings using the Manhattan booking system and liaise with hosts to obtain presentation details in advance of meetings where required.
  • Adhere to security procedures for visitors and clients, including access passes, and record and track these to uphold security procedures.
  • Deal with complaints or queries in a calm and professional manner and escalates when necessary.
  • Set up conference room equipment as required, including laptops, screens, and projectors.
  • Set up refreshments for the client area and internal collaboration spaces.
  • Adjust room layouts according to client specifications.
  • Book client taxis or cars.
  • Carry out administrative tasks supporting the wider business support team at CMS and ad hoc duties as and when required.
  • Collaborate with the Junior Facilities Manager on projects and tasks related to the office.
