Medical Secretary/Admin Worker

Location: Kendray Hospital, James Barnes Centre

Type: Temporary administrative assistant for the Enhanced Mental Health Team West

Hours: 22.5 hours per week, fixed term until 19 July 2027, ideally worked over 3 or 4 days

Closing date: 02 June 2026

Visa: At the time of advertising, this role does not meet the minimum requirements for the UK Visas and Immigration to sponsor candidates; we are unable to sponsor skilled worker visas. Candidates must prove right to work in the UK or alternative visa routes will be considered.

Responsibilities

  • Plan practitioner diary and arrange meetings
  • Minute taking for clinical meetings
  • Provide excellent customer service and telephone support for busy lines
  • Use own initiative and work as part of a team within the wider Admin Team
  • Maintain organization of room bookings at James Barnes Centre
  • Apply flexibility and adaptability to meet changing demands
  • Communicate effectively, both verbally and in writing, ensuring confidentiality
  • Follow administrative processes and maintain strict confidentiality of client information
  • Assist with electronic client clinical systems (training provided)

Qualifications

  • Competency at Level 3 or equivalent
  • Willingness to undertake further study or development

  • Good written communication skills, ability to prepare routine correspondence
  • Good verbal communication skills, ability to obtain and pass on confidential messages

  • Knowledge of the Data Protection Act

Training

  • Willingness/ability to undertake all Trust mandatory training requirements and relevant refresher training
  • Willingness/ability to undergo job development and training and maintain skills

Experience

  • Recent secretarial / administrative experience, including copy / audio typing
  • Minute taking and note taking
  • Experience using email, maintaining and updating paper and electronic diaries, arranging meetings
  • Proficiency with Microsoft Word, Excel, Outlook, PowerPoint
  • Effective team member with minimum supervision
  • Experience working in a busy environment with competing demands
  • Understanding the need for strict confidentiality
  • Initiative and organisational skills for prioritising own tasks and meeting deadlines
  • Experience working in a caring environment and dealing with the public
