Role
Provide an efficient Health Records service to patients, medical and nursing staff by delivering comprehensive clerical and administrative support. Ensure patient appointments for clinics, day cases and inpatient admissions are administered and processed accurately, and that patients’ health records remain confidential, securely stored and available when needed. Support effective clinical care by managing electronic and paper‑based patient records systems, maintaining confidential, accurate, and up‑to‑date information, and by keeping patient demographic and administrative data current.
Work in a fast‑paced call centre environment, handling a high volume of incoming and outgoing calls, booking, cancelling and rearranging outpatient appointments while providing clear and helpful information to patients.
Please note this is a GGC wide post and may be moved to any location; the initial base is Glasgow Royal Infirmary.
Duration, Location and Working Pattern
- Main location: Glasgow Royal Infirmary
- Permanent contract
- Full‑time (36 hours per week)
- Shift pattern: Tuesday – Friday, 0900‑1730; Saturday, 0900‑1300
Key Responsibilities
- Maintain patient confidentiality at all times in line with GDPR 2018 and Caldicott principles.
- Operate the computerised patient management system (TrakCare), ensuring data is accurate and up‑to‑date, supporting patient care and facilitating national returns.
- Accurately update the electronic tracer system when extracting and filing case records and on delivery and collection of scanning folders.
- Deal with telephone and face‑to‑face enquiries from all staff groups in the NHS, patients, relatives, carers and external agencies, directing and prioritising queries as appropriate.
- Sort and handle internal/external mail and deliveries as appropriate.
- File case records and provide expert assistance in tracking records, maintaining the filing room area to ensure maximum availability and participating in the condensing of multi‑volume case records to assist in quick retrieval of clinical information.
- Collect case records or scanning folders from other areas of the hospital for filing and distribution purposes, where appropriate.
Knowledge, Training, Qualifications and Experience
- National 4 or Level 1 qualification in 3 subjects, including English or equivalent.
- General administration and office experience, or previous clerical experience, desirable.
- Computer literate with good keyboard skills.
- Previous reception experience and good communication skills required.
- Prior experience of using a Patient Management System desirable.

No Band 2 roles are eligible for sponsorship under the NHS or Scottish routes. For Band 3 roles, only posts of 32 hours per week or more may meet eligibility.
