St Paul’s Eye Unit
The role will involve all aspects of administration work within the unit, including call centre and reception duties, registering referrals, booking appointments, and preparing relevant paperwork.
Responsibilities
- Extract and prepare case sheets from the filing system for allocated clinics, cancellations, research and audit purposes.
- Receive and book patients on arrival in Out‑patients/Primary care.
- Make appointments as requested and liaise with medical staff regarding overbooked clinics.
- Deal with telephone and postal enquiries.
- Ensure clinic booking summaries and clinic proformas are completed accurately and on time.
- Open, sort and redirect mail.
- Enter referral letters into the Hospital Information Support System and book new appointments as required.
- Make up and file new case notes.
- Cancel and re‑book clinic appointments according to given instructions.
- Liaise with the Clerical Team Co‑ordinator regarding missing case notes.
- Maintain an efficient and helpful attitude whilst undertaking the above duties.
- Ensure all Out‑patient discharges are recorded accurately and promptly.
- Record attendances, DNA’s and discharges accurately and timely.
- Follow up appointments for DNA patients.
- Cover/rotate for other Clerical Officers as required.
- Carry out any other duties appropriate to the grade as delegated by the Clerical & Administration Manager/Clerical Supervisor.
Qualifications
- Previous experience in an administrative environment, preferably within the NHS.
- Excellent customer care skills and the ability to demonstrate good service provision.
- Strong communication, planning and interpersonal skills.
- Organised and systematic approach to tasks.
- Proficiency in computer literacy.
