NHS AfC: Band 3
We are a friendly multidisciplinary team working with adults who have a learning disability at Saffron Ground, covering the East and North Hertfordshire Community.
You will work closely alongside another Assistant Administrator and two Senior Administrators to offer full administrative support to clinicians and other members of the large team.
The role is advertised as 37.5 hours a week, 5 days per week 9am-5pm. The role is fully office based.
Main duties of the job
To provide comprehensive and proactive general administrative and clerical support ensuring that all administrative processes and tasks are undertaken efficiently, effectively and to a high standard, contributing to the smooth running of the office and its overall effectiveness.
Qualifications
- Maths and English GCSE (Grade C or above), or equivalent.
- NVQ level 2 in Business Administration
- Willingness to complete an apprenticeship
- NVQ Level 3 Business Administration
Previous Experience
- Administration experience in a busy office environment
- Experience working as part of a team
Communication Skills
- Able to communicate effectively in written and verbal English Language
- Good Keyboard and IT skills
- Able to provide and receive routine information requiring tact or persuasive skills, considering barriers to understanding. Eg. anxious patients, cultural differences, language or communication difficulties
Analytical Skills
- Proven ability to work on own initiative, without direct supervision, prioritising and managing own workload.
- Problem solving
Physical Skills
- Good working knowledge of Microsoft Office and patient records
- Car driver (unless you have a disability as defined by the Equality Act 2010 which prevents you from driving)
- Touch Typing
Physical effort
- Low level moving and handling certain items, eg: taking delivery of equipment
- Long periods VDU use
Mental Effort
- Articulate, calm, polite and well‑motivated, with a positive attitude to customer care
- Maintain good level of concentration despite frequent interruptions.
- Due to the client group having some challenging behaviour, you may be exposed to challenging conversations.
- Work pattern can be unpredictable. Concentration for e.g. preparing notes, filing, taking, and accessing patient details, answering queries, processing data and records.
Emotional Effort
- You may be required to manage distressed or emotionally‑charged clients over the phone.
- Indirect exposure to distressing circumstances by typing letters and reports.
Other
- Able to identify with the Trust’s commitment to safeguarding and promoting the welfare of children and young people/vulnerable adults.
- Willingness to cover in other geographical locations
- Flexible attitude and approach to work
- Knowledge of PARIS and/or Liquid Logic
- Knowledge of NHS ordering systems
