Logistics and Distributions Administrator

Ellison Institute of Technology Oxford is offering the opportunity for a Logistics and Distributions Administrator. This role is focused on ensuring the efficient, compliant movement of goods, including research consumables, laboratory supplies, equipment and general materials while maintaining outstanding customer service and high operational standards.

Pay

Salary: £25,000 – £35,000 (dependent on experience) + travel allowance + bonus. Your Role

At EIT, you will support the Central Store and Warehouse Manager to develop and document new central store processes, support system configuration and data entry for warehouse management systems, coordinate trial runs and operational readiness activities, gather requirements and identify opportunities for consolidation, participate in equipment commissioning and contribute to training materials.

Responsibilities

  • Assist the Central Store and Warehouse Manager in developing and documenting new central store processes, including goods‑in, inventory control, storage standards, distribution routes, waste returns and stock request workflows.
  • Support system configuration and data entry for warehouse management systems or inventory software.
  • Help coordinate trial runs, pilots and operational readiness activities prior to launch.
  • Work with key stakeholders across institutes and programmes to gather requirements, map current logistics patterns and identify opportunities for consolidation or improvement.
  • Participate in equipment commissioning (e.g. shelving, racking, barcode scanning, PPE stations, goods‑handling equipment).
  • Assist with training materials and contribute to onboarding sessions for internal users of the central store.
  • Process and record goods receipt, ensuring accuracy against purchase orders and compliance with safety and handling requirements.
  • Maintain inventory records, update stock levels and carry out routine cycle counts.
  • Support replenishment activities alongside the logistics and distributions technicians.
  • Ensure safe and compliant storage of materials including temperature‑controlled items, hazardous substances and research‑specific materials (adhering to COSHH or equivalent).
  • Manage daily pick, pack and distribution of materials across multiple buildings and research laboratories.
  • Schedule and coordinate internal deliveries and returns, ensuring timely and accurate distribution.
  • Assist with courier arrangements for incoming/outgoing materials, ensuring documentation for tracked or regulated shipments is complete.
  • Respond to service enquiries, stock availability requests and ad‑hoc support needs from research teams.
  • Provide excellent customer service, acting as a friendly and knowledgeable first point of contact.
  • Follow HSE procedures and protocols, including PPE use and handling/storage of hazardous goods.
  • Flag any safety concerns or procedural issues to the Central Stores and Warehouse Manager and relevant Health and Safety representatives.
  • Maintain auditable records for inventory transactions, goods receipts and distribution logs.
  • Support implementation of environmental sustainability policies (e.g. recycling streams, packing reduction initiatives).

Requirements

  • Demonstrable experience in a warehouse, logistics or stock administrator role.
  • Service‑oriented and proactive; highly organised, detail‑focused and adaptable with a problem‑solving mindset.
  • Familiarity with inventory systems and warehouse processes.
  • Strong organisational and administrative skills with attention to detail.
  • Full clean driving licence.
  • Experience in lab or healthcare logistics, ERP/WMS systems, hazardous material handling is not essential but highly desired.

Working Together – What It Involves

You will live in, or within easy commuting distance of, Oxford (or be willing to relocate) and can commit to traveling between sites based in Oxford. The role is fully site‑based, Monday – Friday with core hours of 8:00 am – 5:00 pm for the first six months, subject to change as the business expands. Start time could change to 6:00 am, dependent on business demand & urgent turnarounds across the campus & institutes.
