Role: Coordinator, Ethics & Independence, Reporting & Systems

Embedded within the Risk & Compliance Central Operations team and dedicated to the Global Ethics & Independence (E&I) programme, the Coordinator plays a critical operational role in supporting the day‑to‑day execution of a global Ethics & Independence (E&I) management programme. This role is responsible for coordinating complex reporting and support infrastructures, including a large‑scale Power BI reporting suite and ServiceNow‑based support processes, ensuring accuracy, continuity, and timely delivery across multiple jurisdictions.

The role requires a highly organised, process‑driven professional who can translate business requirements into structured delivery plans, coordinate across global technical and business teams, and provide clear, consistent updates to senior stakeholders.

Key Responsibilities

  • Coordinate and govern a global Power BI reporting portfolio consisting of 60+ E&I reports.
  • Act as the central point of contact between E&I stakeholders, business users, and reporting development teams.
  • Gather, clarify, and document reporting requirements, enhancements, and change requests.
  • Work closely with Power BI developers to design, build, test, and deploy new reports or updates to existing reports.
  • Manage reporting development timelines, dependencies, and delivery milestones; proactively communicate progress, risks, and delays.
  • Draft reporting briefs, delivery plans, and embedded timelines for stakeholders.
  • Oversee and maintain the E&I reporting intranet site, ensuring accurate content, access, navigation, and documentation.
  • Perform daily monitoring to ensure reports are functioning correctly and investigate issues promptly.
  • Coordinate annual report rollovers, refresh cycles, and structural updates to reflect regulatory, policy, or programmatic changes.
  • Ensure reporting updates are documented and communicated clearly to users.

Reporting Communications & Enablement

  • Prepare and distribute regular status updates to the E&I team on reporting progress and delivery timelines.
  • Draft user guides, FAQs, release notes, and communications to support report adoption and effective use.
  • Ensure reporting documentation is current, accessible, and aligned with governance standards.
  • Maintain version control, documentation repositories, and audit trails for reporting deliverables.

ServiceNow Support Process Enablement

  • Coordinate the implementation of new ServiceNow‑based E&I support processes.
  • Engage with E&I stakeholders to obtain and document functional and reporting requirements for new support services.
  • Work with Global IT teams to design, configure, and deploy ServiceNow request forms, workflows, and dashboards.
  • Manage timelines, dependencies, and stakeholder communications for each ServiceNow initiative.
  • Draft briefings, process documentation, user guidance, and launch communications.
  • Track actions, manage open items, follow up on deliverables, and elevate risks where necessary.
  • Ensure reporting and data captured through ServiceNow meets operational and governance needs.
  • Develop and maintain integrated programme timelines covering reporting, support processes, and related E&I initiatives.
  • Track delivery across multiple workstreams, ensuring steps, approvals, and dependencies are clearly documented.
  • Produce weekly programme plans and status updates, highlighting progress, risks, issues, and upcoming milestones.
  • Draft programme reports and summaries for leadership and governance forums.
  • Maintain action logs, decision registers, and issue trackers; ensure timely follow‑up and closure.
  • Identify opportunities to improve tools, processes, and delivery efficiency across the programme.

Required Skills & Experience (7+ years)

  • 7+ years in program coordination/PMO/governance support within global, matrixed organizations (professional services preferred).
  • Demonstrated experience running committee/task force operations end‑to‑end across multiple time zones.
  • Strong project planning and scheduling skills (critical path, dependencies, RAID logs, deliverable lifecycle).
  • Outstanding written communication: minutes, executive summaries, and management quality reporting.
  • Stakeholder management with senior audiences; confident follow‑up and crisp escalation.
  • High attention to detail, strong organizational discipline, and deadline reliability.
  • Proficiency in Microsoft 365 (Teams, Outlook, SharePoint, OneDrive, Excel, PowerPoint, Word).

Preferred

  • Experience working with ServiceNow (request management, workflows, reporting).
  • Background in Ethics & Independence, Risk, Compliance, Governance, or Quality functions.
  • Familiarity with global data governance, reporting controls, and audit‑readiness.
  • Experience maintaining intranet or internal knowledge sites.
  • Project or programme management certification (e.g., PRINCE2, CAPM, PMP) considered an advantage.

Qualifications

  • Bachelor’s degree (Business, Compliance, Risk, Governance, or related field) or equivalent experience.

  • Timely delivery of Power BI reports and enhancements aligned with agreed requirements.
  • Smooth annual rollover and update of reporting suites.
  • Effective implementation of ServiceNow support processes with clear documentation and adoption.
  • Accurate, up‑to‑date programme plans, action logs, and reporting.
  • Positive stakeholder feedback on communication, clarity, and delivery discipline.
