Radiology Booking Coordinator

Reporting directly to the Radiology Administration Manager, this role will provide direct support to the patient pathways through accurate and effective booking of diagnostic tests.

You will have experience of working within a busy administrative team that involves regular interactions with the public. As part of our tight knit team, you will also be in close contact with our Radiographers and Consultant Radiologists, supporting them with managing their clinical lists effectively. Although not essential, previous experience of this would be considered an advantage as the management of waiting lists and performance metrics will be a key consideration and expectation of the management of the booking team.

Patient care is at the forefront of everything that we do so the post holder will be expected to maintain high levels of communication with our patients, along with a listening and professional manner to deliver the best and timely service.

You will be expected to have a good understanding of the different radiology modalities that form the core of your role and understand the requirements and dependencies that feed into the booking of these tests. As such, this role is like no other as you will have exposure to a wide range of radiology diagnostics with regular interactions with our clinical teams.

Main duties of the job

To join the Radiology Administration Team in providing a comprehensive administration and appointment booking service in the Radiology Department. To provide focus on the needs of the patient in accordance with Policies and National Booking Programmes. This role requires a sound knowledge of the Radiology Information System and booking protocols when booking face to face or in a telephone call scenario.

Once trained, a confident approach is expected in using your own judgement to prioritise requests and deciding upon necessary examination requirements. Close liaison and building good relationships with key Radiographers and Consultants is essential to the success of the team. Full training is given which will involve an induction period of 6 months. Excellent front line customer care skills are essential as the job requires dealing with patients sometimes in a highly emotive atmosphere.

Detailed job description and main responsibilities

To take responsibility for prioritising incoming requests, ensuring they are booked accurately and according to clinical urgency, ensuring maximum utilisation of clinic lists at all times. This will often involve on the spot decision making and having the freedom to adjust appointment slots and session times to accommodate them. For patients attending biopsy appointments, this will necessitate liaising with nursing staff

Qualifications

  • GCSE 3 level of education in English & Maths
  • NVQ Level 3 in Customer Services/Business Administration OR demonstrable equivalent experience gained in a reception, booking or administrative role
  • Willingness to undertake NHS specific IT system training including Medway and CRIS – Computerised Radiology Information System
  • ECDL qualification or other formal IT training/qualification
  • Familiar with medical terminology, particularly radiology
  • Use of internet and intranet

Experience

  • Evidence of significant administrative experience
  • Working knowledge of data protection and confidentiality
  • Worked in an area specialising in health care
  • Organisational awareness of NHS
