CYP Team Administrator

Role summary: We are looking for an enthusiastic and experienced administrator to join our ADHD assessment and monitoring team & our Autism assessment team. This post is full-time and for a 12‑month fixed period to support us in improving our patient services.
Pay: The Trust currently supports the RealLivingWage (RLW) hourly rate as set by the Living Wage Federation and will apply a pay supplement if the national A4C hourly rate falls below this.
Main duties of the job
- To undertake word processing of correspondence, reports, agendas and minutes. Produce other documents and presentations using the most appropriate element of Microsoft Office. These can be produced by copy typing or audio.
- Where applicable maintain departmental/service intranet/extranet page.
- To organise and prioritise own workload on a daily basis to ensure that time deadlines are met and that urgent work is accommodated.
- To receive and provide information from a variety of sources, either paper documentation, telephone or direct contact and provide information and advice to all staff/clients and external agencies as required by ensuring these are dealt with within the agreed timescales.
- Maintaining up to date and accurate diaries which involves making service related appointments, interviews, arranging meetings/events/hearings, booking venues and arranging travel requirements.
- Support/assist in the organisation of seminars, training events, conferences, workshops etc.
- To maintain strict confidentiality in all aspects of the work, complying with policies and procedures on the safeguarding of personally identifiable information.
- Where applicable may be required to assist in the preparation and circulation of rotas.
- To be responsible for inputting, maintaining and retrieval of information from/to relevant databases and to assist in the preparation of statistical and audit information.
Person Specification
Qualifications
- Evidence of good typing skills e.g. RSA 111/NVQ Level III in an admin related subject or equivalent.
- ECDL.
Knowledge and Expertise
- Working knowledge of software programmes e.g. Microsoft office applications.
- Knowledge and understanding of confidentiality.
- Minute/note taking experience.
Experience
- Experience of providing secretarial/administrative duties.
- Experience of working in a health environment.
- Experience of working as a member of a team in an office environment.
- Experience of general finance systems.
- Experience of processes and procedures within this service area.
- Experience of supporting the organisation of seminars, conferences, workshops etc.
