About the role

Our At Risk Mental State (ARMS) team is expanding, and we have a fantastic opportunity for a Team Administrator.

The At Risk Mental State (ARMS) is a specialist mental health service based on NICE-recommended interventions, including comprehensive psychological assessment and interventions for ARMS/psychosis and co‑existing mental health problems (depression, anxiety, emerging personality disorder, substance misuse). These are supported with family interventions, care coordination, social prescribing, and education/employment support.

You will require the ability to multi‑task and work flexibly to manage the workload in accordance with agreed quality standards, and demonstrate a good knowledge of Microsoft Office programmes including Outlook and Word.

Responsibilities

  • Provide comprehensive administrative support to the team.
  • Support all staff and doctors in the office by undertaking administrative and clerical duties, including referrals to EIS, scheduling of appointments, team meeting minutes, professional meeting minutes, and typing clinic letters.
  • Liaise with members of the public in their dealings with the team/service, some of whom may be distressed, challenging or aggressive.
  • Liaise with other EIS team members to organise and deliver a safe and efficient office system to support sound patient care, consistent with clinical governance, and help the team achieve targets and complete timely returns of information.
  • Provide information to patients, staff, carers, relatives, GPs and Community Health Teams regarding appointments, patient care, service pathways and meetings, verbally by telephone, face‑to‑face or in written form, with a tactful and courteous manner, often requiring non‑clinical advice involving careful analysis of delicate situations regarding patient care and requiring knowledge of patient confidentiality.
  • Maintain records, including computerised systems such as electronic health record RIO, databases and spreadsheets required by the Team (e.g., therapy waiting information, group therapy lists, trackers of doctors’ clinic appointment letters).

Requirements

  • Strong attention to detail.
  • Excellent multi‑tasking and flexible working skills to manage workload to agreed quality standards.
  • Good knowledge of Microsoft Office programmes (Outlook and Word).
  • Enhanced Disclosure and Barring Service (DBS) check required; the Trust will cover the cost.
  • Applicants who require current Skilled Worker sponsorship to work in the UK are ineligible.
