What you’ll do

  • Liaise with suppliers, helping to arrange all event details, such as venues, audio and visual, entertainment and branding
  • Ensure the event production is consistent with all brand guidelines
  • Assist with site checks – liaise with venues, visiting and checking venues and keeping all venues viewed up to date in the venue directory

  • Complete company details forms, biographies and presentations
  • Check and sign off venue contracts
  • Proofread documents
  • Check and create various copy for events

  • Support post‑event evaluations and manage the feedback process
  • Work alongside the Event Executive to coordinate and deliver successful breakfast briefings for clients throughout the year

What you’ll need to succeed

Essential requirements:

  • Minimum 2 years’ experience in event coordination, ideally within an event management agency or a client‑focused organisation delivering events. This role requires end‑to‑end event delivery experience beyond hotel‑based event support
  • Excellent communication skills and interpersonal abilities
  • Good spoken and written English is essential
  • Comfortable on the telephone and in meetings – able to communicate confidently and effectively to a wide range of clients, including those at the most senior levels, in an appropriate and sensitive manner, through all forms of communication media
  • Well‑presented – as the Event Executive, you are encouraged to socialise with delegates at events and will act as an ambassador for the company
  • Comfortable dealing with people at a very senior level

Desirable requirements:

  • Familiarity with virtual event platforms and event apps, particularly Cvent, and CRM systems is a plus

Your approach to work:

  • Have a genuine passion for events, able to work under pressure, while remaining calm and focused
  • Great attention to detail and a keen multi‑tasker. We run over 60 events per year, so good organisation and multi‑tasking skills are essential
  • Self‑motivated – we are a very fast‑paced company and we are looking for someone who will take the initiative rather than wait for a to‑do list
  • We are a tight knit company so being a team player is essential

Important to know

Location:

  • This is a hybrid role where you’ll work from our central London office with your team 3 days each week on Mondays, Wednesdays and Thursdays. Our Owen James HQ is in Godalming so once a month you’ll also work with colleagues from that office.
  • Events – we typically run 60 in‑person events a year which you are expected to attend (usually a 7am start) and the majority of them are based in London, so a commutable distance from London is essential.

Right to Work

Applicants must already hold a legal right to work in the UK without time restrictions and without the need for future sponsorship. We are unable to provide Skilled Worker visa sponsorship.
