This role is a fixed‑term or secondment opportunity to cover maternity leave, with secondment accepted upon prior approval from your line manager.
The position will focus on supporting clinical teams during the Monday‑Friday working week while our services run Monday through Sunday, including bank holidays.
Employment Details
- Fixed term or secondment (covering maternity leave).
- Part‑time, 22.5 hours required on Wednesdays and Fridays (alternative hours welcome).
- Substantial position focused on Monday‑Friday clinical support.
Responsibilities
- Provide secretarial support for consultant obstetricians and junior doctors.
- Typing and distribution of patient communications, taking minutes, diary management.
- Multi‑disciplinary Team (MDT) coordination and answering telephone queries.
- Maintain waiting lists and book appointments.
- Act as a contact point, liaising between patients, medical and nursing staff, and other internal and external organisations; take clear and concise messages, resolve as necessary.
- Receive, sort and prioritise daily correspondence for clinicians, ensuring all clinical reports/requests reach the relevant clinician.
- Receive and act upon telephone calls and face‑to‑face enquiries from patients, relatives and staff.
- Accurately maintain waiting lists for pre‑pregnancy counselling and post‑natal follow‑up appointments.
- Track all medical records and X‑rays to and from the department and keep them tidy.
- Use (or learn) the in‑house Patient Administration System and other hospital IT systems to maintain data integrity.
- Work closely with senior colleagues to ensure effective secretarial support and coverage.
- Provide cover for colleagues in times of absence or annual leave as requested by the line manager.
- Undertake photocopying, filing and other general administration duties, such as monitoring stationery supplies.
- Support and assist junior members and others across the maternity & obstetric department, including training new starters.
- Willingness to undertake further training and development.
- Promote and uphold excellent customer‑service standards.
- Maintain terms of reference and agendas; take and distribute minutes at several monthly meetings (including topics related to bereavement and miscarriage).
- Coordinate and provide administration for MDT meetings, manage outcomes and liaise with clinicians and patients.
- Make changes in own work practices in accordance with service needs and offer suggestions for improvement.
- Perform other reasonable duties appropriate to Band 4, as agreed with the line manager.
Qualifications & Skills
Desired qualities include enthusiasm, adaptability, initiative, good communication and organisational skills. Applicants should have good keyboard typing skills and a working knowledge of NHS IT systems (full training will be provided).
