Top Chiropractic Edinburgh is looking for a proactive, organised, and people-focused Senior Chiropractic Assistant to join our growing team. In this role, you will act as a key point of contact for clients, support chiropractors with day-to-day clinical operations, lead administrative processes, and help drive patient satisfaction and clinic success.
Key Responsibilities
Client Interaction & Support
- Welcome and check-in clients as they arrive at the clinic
- Answer incoming phone calls and email enquiries from clients across all UK TOPCHIRO locations
- Provide information about services and support patient queries professionally and empathetically
- Manage appointment scheduling and maintain clinic calendars using the client database system
- Process patient payments (cash and card)
- Ensure client comfort, safety, and a positive clinic experience
- Maintain clean, organised reception and treatment areas
- Educate clients on chiropractic care and wellness plans
- Act as a liaison between clients and chiropractors
- Track and follow up new client leads to maximise conversion rates
- Monitor enquiries received via phone, email, and online channels
- Maintain accurate lead tracking within CRM systems (Excel or Salesforce)
- Support and improve lead management systems and processes
- Raise concerns and suggest improvements to the Clinic Manager where appropriate
Clinical Assistance & Clinic Success
- Assist chiropractors during appointments with tests and examinations
- Ensure patient notes and records are kept accurate and up to date
- Support digital onboarding forms and client documentation
- Assist with clinic diary management, including deposits and phone payments
- Monitor clinic equipment and report maintenance concerns
- Support patient retention and marketing initiatives
- Manage patient satisfaction surveys, feedback, and Google review requests
- Organise spinal screenings, health talks, neck care screenings, and social events where applicable
Leadership & Operations
- Provide support and guidance to other Chiropractic Assistants within the team
- Assist with onboarding and training new staff members
- Ensure clinic standards and procedures are consistently maintained
- Oversee front desk operations and day-to-day clinic systems
- Audit client care plans and schedules within the database
- Support team meetings and assist with meeting minutes
- Manage cash reconciliation and stock/inventory control
- Assist with shift cover coordination
- Support with handling client concerns and refund processes
- Assist management with policy writing, SOPs, reporting, and process improvement
- Support business growth initiatives and external meetings where applicable
Experience & Skills Required
- Previous experience in a healthcare or clinical setting, ideally as a Chiropractic Assistant or similar role
- Strong interpersonal and communication skills
- Basic understanding of chiropractic care and patient support
- Confident and professional communication skills over phone and video calls
- Experience in lead management, sales, or patient conversion is highly desirable
- Strong organisational skills with the ability to multitask effectively
- Proficiency with office software, CRM systems, and scheduling platforms
- Positive attitude with a genuine passion for patient care
