PART TIME FIXED TERM 12 MONTH POSITION FOR A WARD CLERK ON RIVERBANK WARD, WORCESTER ROYAL HOSPITAL – CQCrated as GOOD.

An excellent opportunity has arisen for a Band 2 Ward Clerk to join our team of Ward Clerks on our 35 bedded children’s ward caring for babies, children and young people with a variety of medical and surgical needs.
We are seeking cheerful, knowledgeable, enthusiastic and motivated applicants who ideally have reception and administration experience. You will play an integral part in enhancing our patients and families experience and be the welcoming face of our ward.
The hours required will cover early, late and/or long day shifts, 7 days a week to meet the needs of the service.

Main duties of the job
Provide administrative and clerical support to the clinical staff within paediatric services. Ensure the availability of accurate patient records and documentation as per Trust policies and procedures. Liaise with patients, relatives and other members of the public politely and efficiently, ensuring confidentiality and security of patient information as per Trust policy and in line with Information Governance guidance.
Job responsibilities
- Provide a reception service, handling initial enquiries, gathering basic information and taking initial action within defined protocols to assist in resolving any queries.
- Keep staff informed of admissions and discharges, and ensure queries from other members of staff and members of the public are dealt with appropriately either in person or on the telephone.
- Receive general telephone calls, recording messages and responding to initial enquiries, referring the call to the relevant member of staff, as appropriate. Make telephone calls on behalf of staff as directed.
- Assist in admitting and discharging patients using manual and computerised systems.
- File reports, correspondence, forms, etc. in patient notes in an ordered manner, to facilitate efficient retrieval of such documentation on request.
- Update and maintain filing systems in the ward/department to enable timely and accurate information retrieval.
- Arrange transport between departments and to destinations outside the hospital, as required.
- Assist with housekeeping duties within ward/department.
- Maintain effective communication with ward clerk/clerical team assistant colleagues within the department.
- Provide relief cover within the Directorate undertaking any duties within the scope of the ward clerk/clerical team assistant role.
- Arrange follow‑up appointments for patients prior to discharge.
- Ensure that patient case notes are available, creating temporary notes whilst original notes are located. Maintain case notes in a tidy manner, filing results and other patient documents in accordance with Trust policy, including admission and discharge of patients. Ensure that all case notes movements are tracked on PAS, including collection and return of case notes to main maternity filing department.
- Facilitate the prompt collection of data by liaison with the clinical coding department.
- Assist junior doctors with administrative tasks such as form completion, bereavement paperwork and audits, ordering and tracking of case notes.
- Provide general clerical support such as photocopying, typing, opening and sending post, stock and equipment ordering and monitoring, stationery orders, personnel administration, arranging repairs.

- Report any accidents, untoward incidents and complaints in accordance with risk management and trust policy.
- Create and maintain positive working relationships with colleagues and other staff within the workplace.
- Act always in a manner which will promote a good image of the ward/department.
- Respond appropriately to clinical emergencies as directed by the Nurse in charge.
- Contribute or participate in any initiatives to improve the quality of service to patients.
Person Specification
Experience
- Previous clerical/reception experience preferably in hospital or customer facing environment.
- Previous ward clerk/clerical team assistant experience.
Knowledge and Skills
- Basic inputting/keyboard skills.
- Good telephone manner.
- Able to pass on accurate written messages/write simple reports.
- Information governance aware.
- Familiarity with computerised patient information systems such as PAS, Clip, Bluespier.
Personal Qualities
- Well motivated.
- Flexible attitude to routine/non‑routine work.
- Calm approach to work duties.
- Appreciates when to refer/seek assistance.
- Able to work as part of ward/department team.
- Understanding of Ward Clerk role in relation to delivering high quality patient care.
Qualifications
- Educated to GCSE Grade C, including English and Maths.
