Job Summary
Band 2 Administrator/Receptionist Outpatients, Department 1 ORTC. The role involves welcoming patients with multiple malignancies, face‑to‑face and telephone interactions, checking in, booking appointments (blood forms, onsite phlebotomy, Bloods Closer to Home), and sharing workload with another band 2 receptionist.
Responsibilities
- Communicate complex appointment information to patients, including handling anxious, angry, or upset patients with compassion.
- Maintain patient confidentiality and liaise with staff regarding case notes and patient visits.
- Provide excellent customer service and work as part of a team.
- Resolve issues such as appointment cancellations and liaise with clinical staff on patient queries.
- Use patient information systems to assist patients and staff, ensuring accurate data entry and reporting.
- Plan and schedule patient consultations and blood appointments, coordinating annual leave with colleagues.
- Update patient systems with appointment changes and maintain accurate records.
- Signpost patients to other hospital areas and provide comprehensive advice on appointments.
- Follow policy and legislation, actively contributing to policy adherence and service development.
- Provide induction/support to new post holders and demonstrate workplace routines to less experienced staff.
- Print patient identification labels and daily clinic lists.
- Maintain organisation of own workload with prioritisation, following protocols and SOPs.
Person Specification
Qualifications
- NVQ Level 3 or equivalent qualification, or relevant experience.
- Diploma or equivalent, EDCL or equivalent (desirable).
Experience
- Administrative or clerical work with a customer‑facing dimension (essential).
- Experience in the National Health Service (desirable).
Skills
- Excellent communication and interpersonal skills.
- Good telephone manner.
- Attention to detail.
- IT literate (essential). Familiarity with Microsoft Office applications (desirable).
Knowledge
- Knowledge of booking patient appointments and data recording systems (essential).
- Knowledge of medical terminology and evidence of recent training (desirable).

Remuneration and Contract
