Gynaecology Department Receptionist – Job Description
Job Overview
The primary role of the Gynaecology Department Receptionist is to serve as the first point of contact for women and their partners attending the hospital. The position provides a comprehensive reception service, warmly welcoming and assisting all patients at the clinic reception area. The receptionist offers a high standard of administrative support to the clinical teams, ensuring accurate registration and maintenance of computerised patient records.
Main Duties
- Accurately receive and check women in and out of clinic using the relevant computer systems
- Participate in preparation and running of the reception and cover other reception areas within the division when required
- Answer telephone enquiries from patients, medical staff and other hospitals, dealing with enquiries in a professional manner and referring to the relevant person where necessary
- Prepare clinic notes ensuring all relevant documentation is included
- Send appointment letters to patients ensuring information is accurate
- Deal with patient cancellations in accordance with the Patient Access Policy
- Take responsibility for the tracing in and out of medical records
- Ensure all outcome forms are completed on the PAS system
- Restock stationery, ensuring order forms are signed by the Senior Administrator
- Provide annual leave and sickness cover as required
- Undertake any other duties appropriate to the post as agreed by the Senior Administrator
Person Specification
Education/Training/Qualifications
- GCSE in English and Maths or equivalent
Desirable criteria
- Knowledge of Lorenzo & ICE system
Work Experience
- Previous experience of working in a customer service setting
Desirable work experience
- Previous reception experience
- Previous NHS experience
Knowledge/Skills/Abilities
- Ability to work as part of a team
- Ability to work under pressure / prioritise workload
- Excellent communication skills
