Logistics & Supply Chain Coordinator

About the Role

Ivyline Ltd is a proudly British, family-run wholesaler of home and garden products, trading since 1976. As we continue to grow, we are looking for a proactive and detail-oriented Logistics & Supply Chain Coordinator to join our operations team.

This is a varied and hands-on role at the heart of our supply chain. You will take ownership of inbound stock coordination into our third-party logistics (3PL) warehouse, manage outbound export freight, ensure compliance with customs and commodity code requirements, and maintain smooth day-to-day purchasing with our established supplier base.

Key Responsibilities

Inbound Stock & 3PL Warehouse Coordination

•     Coordinate the movement of inbound stock from suppliers into our 3PL warehouse, ensuring accurate advance shipment notices (ASNs) and delivery bookings.

•     Act as the primary point of contact between the business and the 3PL provider, resolving discrepancies and maintaining strong working relationships.

•     Monitor inbound shipment schedules, flagging delays and proactively communicating updates to internal stakeholders.

•     Ensure all stock is received, labelled, and stored in line with our agreed processes and SLAs.

Outbound Export Freight

•     Manage the end-to-end process for outbound export shipments, including booking freight, preparing documentation, and liaising with freight forwarders and couriers.

•     Ensure all export documentation is accurate and compliant, including commercial invoices, packing lists, and certificates of origin where required.

•     Correctly classify all goods using the appropriate commodity (HS/tariff) codes, ensuring compliance with UK export regulations and those of destination markets.

•     Stay current with changes to trade regulations, customs requirements, and international shipping rules that may affect the business.

Supplier Purchasing & Replenishment

•     Place regular repeat purchase orders with existing suppliers, ensuring accuracy in quantities, pricing, and delivery schedules.

•     Track open orders and follow up on outstanding deliveries, keeping internal systems up to date.

•     Build and maintain positive relationships with our supplier base, escalating issues where necessary.

•     Support the wider purchasing team with administrative tasks and reporting as required.

Skills & Experience

Essential

•     Solid understanding of commodity (HS/tariff) codes and UK customs/export compliance — this is a non-negotiable requirement of the role.

•     Previous experience in a logistics, freight, or supply chain coordination role.

•     Experience working with or alongside a 3PL provider.

•     Proven ability to manage outbound international freight, including documentation preparation.

•     Experience placing purchase orders and managing supplier relationships.

•     Strong attention to detail and excellent organisational skills.

•     Confident communicator, both written and verbal, with internal teams and external partners.

Desirable

•     Experience in a wholesale, consumer goods, or home and garden product environment.

•     Familiarity with ERP or warehouse management systems.

•     Knowledge of Incoterms and letters of credit.

•     CPC (Customs Procedure Codes) qualification or equivalent trade compliance training.
