ENT Medical Support Secretary

Job overview
This role is part of a team that delivers an efficient, patient‑focused secretarial service to ENT clinicians. Responsibilities include preparing clinic letters, managing the Medical Secretary inbox, handling e‑mail queries, telephone calls and acting as a liaison between patients, relatives, and clinical staff.
Main duties of the job
- Coordinate communications with clinical and non‑clinical staff via telephone and email.
- Act as point of contact for patients, relatives and carers, maintaining a polite and empathetic approach at all times.
- Return calls promptly and update callers with accurate information.
- Escalate patient queries, capacity issues and general concerns to the line manager or relevant clinical staff.
- Support service improvement initiatives and drive patient‑focused care within the team.
Qualifications and training
- GCSE or equivalent (grade C or above) in English Language and Maths.
- Business and Administration Level 3 NVQ or equivalent experience.
- Qualification in word processing or audio typing, or equivalent.
Skills and abilities
- Effective and polite communication face‑to‑face and over the phone.
- Ability to work under pressure, meet deadlines while maintaining high accuracy.
- Teamworking skills, adaptability to change, and ability to motivate others.
- Independent work with initiative where required.
- Confidence in handling difficult conversations with patients and relatives.
- Organisational skills and proficient use of Microsoft Office packages.
- Willingness to adapt to new computer packages and programmes.
- Supportive and respectful demeanour.
Knowledge and experience
- Experience dealing with the public, both by telephone and in person.
- Clerical or administrative experience.
- Previous NHS experience.
- Understanding of medical terminology.
