Williams Lea employees, nearly 7000 people worldwide, who provide efficient business services at client sites in often complex and highly regulated environments, from centralised Williams Lea onshore facilities, and through best cost company offshore locations.Purpose of roleThe primary focus of the Multi Services Assistant will be to support all the service lines we deliver to our client with a particular focus on Legal Admin within The Property Department on a daily basis to ensure all tasks are completed within the time frame specified. You will be responsible for ensuring all Legal Admin activities are completed accurately and efficiently, including:Printing, scanning and copy requestsBinding DocumentsFolding large plansSewing and document finishingDigital scanning of files and documentsArchiving and scheduling old files to go to recordsReplenishing stationery hubs on the floor and making sure they are tidyConverting and combing documentsElectronic filingCarrying out ad hoc administration tasks as per departmentThis role is client facing – you will be be based in the department. You must be proactive and efficient as you will be working very closely with the Departmental Support Managers, Team Leader and Account Manager. You also might be asked to assist in other departments with the following tasks:Post RoomSorting incoming mailDelivering post on scheduled runs throughout the dayBooking couriers, tracking deliveries and informing the client of any issuesProcessing outgoing post via the Royal Mail websiteScanning incoming post and courier itemsDigitally filing incoming post and processing items on MstoreHand-delivering bundles and documents to local addresses within a set distance from the officeResponding to general ad-hoc queriesDocucentreBatch printing, scanning and copying requestsBinding documentsFolding large plansSewing and document finishingScanning incoming mailMerging documents and other PDF tasksSupport Archiving/Records ServiceMoving archive boxes around buildingRetrieving boxes from storageScheduling documents for archivingUpdating databaseResponding to general ad-hoc queriesOS and Facilities supportRaising FHD tickets and completing jobs assignedAssisting office movesMeeting room set ups and set downsCompleting access control tasksSupporting general ad-hoc dutiesPersonal attributesPrevious experience working in an office environmentYou must have basic knowledge of working with Microsoft softwareA strong team player with an enthusiastic, positive, can-do attitude and professional manner at all timesKeen to learn and progressBe flexible to meet client requests, learning new tasks and expanding knowledge within the roleExcellent time keeping and planning/organisational skillsHappy to support all service lines as neededRewards and BenefitsWe believe in supporting our employees in both their professional and personal lives.
