Overview
Provide administrative support to the Transformation Management Office (TMO) in GPSU. Support project tracking, governance, and communication across programmes, ensuring the smooth running of transformation and digital initiatives.
Key Responsibilities
- Provide high-quality executive administrative support to the Transformation Manager.
- Act as a gatekeeper and first point of contact, handling communications with professionalism and discretion.
- Manage diary coordination, meeting scheduling, and prioritisation of commitments.
- Prepare agendas, briefings, papers, and presentations to support internal and external meetings.
- Support the administration and coordination of transformation and service development projects across GPSU.
- Maintain and update project trackers, ensuring progress, risks, and key milestones are accurately recorded.
- Support follow‑up of actions, deadlines, and correspondence to ensure priorities are progressed effectively.
- Assist with maintaining oversight of key deadlines, reporting cycles, and governance requirements.
- Assist in reviewing and managing the pipeline of work from stakeholders, gathering and organising information for feasibility assessment and prioritisation.
- Liaise with project leads and stakeholders to obtain updates, clarify requirements, and support effective communication across programmes.
- Ensure documentation is maintained in line with organisational standards, supporting transparency and auditability of transformation activity.
- Provide general administrative support to the Transformation Management Office, contributing to effective programme delivery and continuous improvement initiatives.
Qualifications
Essential
- GCSE Maths and English grade A–C or equivalent.
- Minimum NVQ level 3 in a relevant subject or equivalent level of qualification or significant equivalent proven experience.
- Experience handling sensitive, confidential information.
- Experience maintaining accurate records and data quality standards.
- Strong organisational skills with the ability to prioritise competing demands.
- High level of accuracy and attention to detail.
- Computer literate with excellent working knowledge of Microsoft Word, Excel and PowerPoint.
- Clear, confident, and professional communication skills, both written and verbal.
- Ability to communicate sensitively and appropriately.
- Ability to build positive working relationships and contribute to effective teamwork.
- Ability to maintain confidentiality and professional boundaries at all times.
- Ability to interpret and summarise information accurately.
Desirable
- Training in information governance and confidentiality or willingness to complete.
- Experience working in primary care, health, or multi‑agency safeguarding environment.
- Experience prioritising and managing a varied workload under pressure.
- Experience of supporting projects, programmes, or service improvement initiatives (e.g. maintaining trackers, coordinating meetings, or supporting governance processes).
- Ability to support coordination of multiple projects and maintain structured tracking systems such as project trackers, action logs, and pipelines of work.
- Experience using clinical systems, Microsoft Office, and secure information‑sharing platforms.
- Ability to assess and screen information to support decisions on GP attendance at strategy meetings.
- Ability to use initiative and make sound judgements within the scope of the role.
- Ability to identify when issues need to be escalated to senior colleagues.
