Cygnet Hospital Colchester is a 59-bed service providing a range of intensive support and rehabilitation services for men with learning disabilities, autism spectrum disorders or mental health needs. We are recruiting for a Compliance and Data Assistant to provide efficient administrative systems in support of the Quality Improvement Framework and Audit Strategy across the hospital. You will be working 40 hours a week Monday to Friday in a hospital setting.
Responsibilities
- Provide administrative support for Clinical Governance processes, including the collation and analysis of reports, coordination of meetings, creation of monthly reporting schedules, and ensuring departments submit actions and information within agreed timescales.
- Provide accurate minutes for Clinical Governance, Quality and Safety, audit dashboard, and other hospital-wide meetings, including the identification and monitoring of SMART actions and follow-up requirements.
- Support the coordination and management of the hospital and corporate audit programme linked to the Quality Improvement Framework, including maintaining electronic audit databases and ensuring audits are received, quality checked, completed, and submitted within agreed timescales.
- Prepare, maintain, and monitor weekly and monthly audit dashboards, providing verbal and written feedback where required and supporting the development of quality assurance systems across the site.
- Lead and complete local audits across the hospital, sharing detailed findings, recommendations, and feedback following each audit to support continuous improvement.
- Provide administrative support for the ongoing review, organisation, and maintenance of CQC evidence folders and other governance documentation to ensure inspection readiness.
- Support the daily operational requirements of the Quality and Governance Team, including attendance at hospital-wide meetings, quality projects, and service improvement initiatives as required.
- Support the administration and coordination of compliments, governance actions, and quality improvement activities across the hospital.
Qualifications
- Excellent verbal and written communication skills.
- Ability to form and maintain professional relationships with individuals both internal and external to the hospital.
- Ability to communicate complex information clearly, including statistical and governance information.
- Excellent interpersonal and engagement skills.
- Ability to liaise confidently with ward teams and senior managers, with strong listening skills and the ability to handle sensitive and confidential information appropriately.
- Excellent organisational and time management skills with the ability to prioritise competing workloads and meet deadlines.
- Experience of administrative systems associated with audits, governance, and service improvements.
- Ability to establish and maintain efficient administrative systems for large volumes of work.
- General administrative experience within a healthcare environment.
- Ability to maintain accurate electronic and paper filing systems.
