Job Overview
We currently have a part‑time vacancy and are looking for an enthusiastic and dedicated person to provide suitable front‑of‑house service to all patients undergoing consultation or treatment in the Orthopaedic & Fracture Clinic.
This is a busy and demanding role within a supportive and friendly team. The applicant must have excellent communication skills and will be expected to have a courteous and efficient manner in order to provide full comprehensive reception and clerical service to support the professional staff involved in patient care.
Main Duties
- Receive patients and relatives at reception in a friendly and courteous manner.
- Answer all telephone enquiries, take and relay messages politely and helpfully, taking action as appropriate.
- Maintain patient details and appointments efficiently on the patient administration system (Millennium), including registration of patient referral letters, booking and “caching” of appointments, answering emails, and basic template changes to clinics.
- Book / reschedule follow‑up outpatient appointments and ensure all patients are advised of their appointments with reasonable notice.
- Monitor and act on the department’s generic email inbox.
- Book interpreters when required.
- Re‑book transport for patients after their clinic appointment has finished.
- Liaise with nurses, doctors, GP’s and other members of the department to provide a quality service for patients.
- Carry out other clerical duties as required, including photocopying, scanning and uploading of referrals and sorting of post.
- Assist in the maintenance of Trust quality targets related to outpatient waiting times.
- Perform other duties as directed by the outpatient manager in line with department and Trust needs.
Person Specification
Qualifications
Essential criteria:
- Qualification at GCSE level or equivalent.
Desirable criteria:
- Knowledge of the Cerner Millennium patient administration system.
- Experience and knowledge of office and administrative processes.
Experience and Other Requirements
Essential criteria:
- Previous admin experience.
- Experience in a busy working environment.
- Experience in working with the public.
Desirable criteria:
- Previous experience in a reception role.
- NHS experience.
- Able to work on own initiative.
- Able to work as part of a team.
