JOB SUMMARY : The post holder will contribute to the maintenance of effective employee relations, attendance and employment equality/diversity/inclusion .The post holder will be allocated a range of duties as outlined in the main responsibilities.KEY RESULT AREAS / MAIN RESPONSIBILITIESArranging formal hearings for all employee relations and absence processes, booking any necessary venues.Preparing and issuing letters relating to formal hearings for all employee relations and absence processes to various parties including management, union representatives and employees.Participate in the smooth running of an employee relations and absence query service including fielding and responding to phone call and email queries.To provide basic advice, guidance and support to Trust staff in the operation of employee relations and absence policies.To work with the Senior HR Managers and wider team to assist in the development and implementation of action plans to reduce sickness absence levels.To develop positive working relationships with staff throughout the Trust, as a means through which employee relations and absence can be practically addressed/managed.To assist with co-ordination/processing of Ill Health Retirements and liaise with Occupational Health department, HSC Pension Services and BSO Payroll Shared Services in order to ensure that applications are expedited in a timely and professional manner.Utilise on a daily basis a range of software packages in the performance of the post including e-mail, Word, Excel, PowerPoint and other HR databases.Support day to day office cover provisions for your team.Undertake training and development as identified through performance review processes in order to meet the demands of the post and to further personal developmentTo assist with the preparation of training materials in respect of employee relations and absence policies and any other relevant documents.To maintain knowledge of all relevant legislative changes and Trust policies relating to the roleTo provide assistance and administrative support to the team on the implementation of employee relations and absence policies.Partipate as requested in procedures outlined within the policies which may include taking notes at hearings at required.Attend formal and/or high priority meetings alongside senior team members as requested (including meetings involving consultatation with Trade Unions and/or professional organisations) and notetake/ prepare minutes as required.Assist as required with the administrative arrangements for training coursesResponsible for periodic fire checks, organising fire lectures and maintaining record of attendances.Provide administrative support to the team as requiredEquality Assist with the maintenance of an accurate and up to date information system and make appropriate arrangements to monitor comprehensively the application of the policy in such areas as recruitment, promotion and trainingBe responsible for the security of computer systems, and ensure accuracy and confidentiality of dataAssist with the communication of the Equal Opportunities Policy throughout the organisation.Service meetings as required, including arranging meetings and taking minutes.Essential Criteria4 GCSEs to include English (Grade A*-C) or equivalent and 1 year’s admin experience in an office environment to include the use of computerised systems eg Microsoft OfficeORGCSE English (Grade A*-C) or equivalent and 2 years’ admin experience in an office environment to include the use of computerised systems eg Microsoft OfficeOR3 years’ admin experience in an office environment to include the use of computerised systems eg Microsoft OfficeSkills & AbilitiesEffective communication skillsAbility to work as part of a teamAbility to work on own initiativeAbility to work under pressure and to meet deadlinesAbility to maintain confidentiality…
