Hours: Monday – Thursday 9am – 4pm, with flexibility to cover occasional Sundays

The Charity
Community Action Malvern and District aims to prevent older and disabled people from becoming isolated and lonely. A team of volunteers and paid staff provide a range of services to meet local needs, including transport services (volunteer cars, wheelchair‑accessible vehicles, and minibuses) and Malvern Shed, with a Volunteer Centre to support local voluntary groups.
Community Transport
Our Services
Community Transport offers a range of services for residents registered with the charity who have no alternative means of transport. We provide a car scheme with volunteer drivers using their own cars; volunteers drive CAMD wheelchair cars for those with serious mobility difficulties; CAMD minibuses serve community bus routes and Out & About (social outings), and we help local community groups and organisations.
The Role
To be part of the team responsible for the daily functioning of the community transport service. Lead the ‘Out and About’ service and cover absences across the transport service as a whole. Work with volunteers and the people we support, ensuring all trips, individual transport requests and follow‑up actions are dealt with promptly. Maintain accurate records for formal reports and payment schedules.
Responsibilities
- Support and promote a long‑established transport service to maintain and increase demand.
- Develop and maintain relationships with partners who facilitate our services, such as WI groups, the Scouts and Guides, and local care homes.
- Schedule and organise a variety of trips for the Out and About Service (including day trips, Tea Club, Film Club), ensuring a variety of trips are scheduled to suit the interests and abilities of our many passengers.
- Plan trips in advance, including organising volunteer drivers and passenger escort cover. Provide information, advice and support to all volunteer drivers and escorts in line with the requirements of each trip.
- Advise and support recruitment and promotional campaigns; interview prospective drivers, passenger escorts and administrators and complete recruitment procedures as appropriate.
- Implement good practice for volunteer drivers and escorts in accordance with legislation and guidance, always ensuring the safety of passengers.
- Organise and work with volunteer administrators, to ensure all trips have maximum number of passengers onboard, keeping the service cost‑effective.
- Develop and maintain a thorough understanding of CATSS (the online booking system) for day‑to‑day transport services. Maintain accurate records including the database of volunteers and the people we support and deal with follow‑up enquiries from passengers or drivers.
- Gather feedback for continuous improvement and provide regular reporting on our services. Work with the Community Transport Manager to identify procedural improvements, demonstrate efficient and economic use of resources and maximise income for the charity.
- Encourage and facilitate opportunities for shared learning, liaison and collaboration within the whole service to improve performance.
- Undertake additional duties appropriate to the role as required.

- Excellent people skills to engage with the people we support; volunteers, staff and others across the community in a sensitive manner.
- Excellent written and verbal communication skills when engaging with colleagues, partners and stakeholders.
- Willingness to embrace change and adapt to the future needs of the charity.
- Ability to work flexibly in a small team, including holiday cover for other team members and occasional evenings or weekends, when required.
- Excellent organisational, time‑management and accuracy skills, and the ability to work with a minimum of supervision.
- Strong ability to plan several months ahead.
- An understanding of confidentiality, equal opportunities and safeguarding issues and a commitment to implementing them in all aspects of the work.
- Confident and competent in the use of Microsoft Office 365 and other technology including online communications and databases in compliance with GDPR.
- Willingness to undertake any other duties to support the operation of the overall service as and when required.
- Valid driving licence is desirable to enable driving a Wheelchair Adapted Vehicle.
Employment Conditions
- A DBS Check is required for all CAMD staff.
- Holiday entitlement is 23 days excluding bank holidays, rising to 28 days after 5 years (Full Time Equivalent).
- Flexible arrangements include covering other transport team members’ absence.
Hours
Monday – Thursday 9am – 4pm. Sunday Tea Club runs once a month. The flexibility to attend on occasion to monitor quality and attendance is highly desirable.
