PERSON SPECIFICATION

ESSENTIAL CRITERIA

  • Minimum six months’ demonstrable experience working as an assistant building supervisor, building supervisor, caretaker or cleaner in a school environment (shortlisted by application).
  • Key holder ready to respond to call‑outs at short notice, including unsociable hours (shortlisted by application).
  • Demonstrable knowledge of: the role of an Assistant Building Supervisor, relevant health‑and‑safety regulations, manual handling regulations and use of security systems (interview).
  • Evidence of ability to work effectively and collaboratively as part of a team.
  • Excellent interpersonal and communication skills.
  • Proven administrative, planning and decision‑making skills to meet deadlines.
  • Evidence that experience and approach to work reflect the school’s values/ethos.

DESIRABLE CRITERIA

  • NEBOSH Health and Safety at Work qualification or equivalent higher level qualification.
  • Experience using industrial cleaning equipment.
  • Experience of key‑holding duties, including opening/closing premises and setting alarm systems (shortlisted by application).

DISLOSURE OF CRIMINAL BACKGROUND

The Safe‑Guarding Vulnerable Groups (Northern Ireland) Order 2007 requires an Enhanced Disclosure of Criminal Background for roles involving ‘regulated activity’. JOB DESCRIPTION

Reports to: Designated Line Manager or other authorised person. Responsible for: Assisting the building supervisor with staff supervision and normal administrative processes.

MAIN DUTIES AND RESPONSIBILITIES

Security

  • Maintain security of premises and contents.
  • Open and close premises and grounds as authorised.
  • Ensure windows, doors and gates are locked at the end of each day.
  • Custody and allocation of keys to cleaning staff and return of keys at the end of each working day.
  • Operate and monitor security camera, fire alarm, burglar alarm and building security systems; report faults.
  • Attend after‑hour breaks and vandalism incidents; ensure premises are secured and cleaned promptly.
  • Report suspicious activity during normal hours.
  • Report any breach of security, including illegal substance exposure.
  • Apply grit/rock salt during snow and frost to ensure safe pathways.

Mechanical and Electrical Services

  • Ensure efficient operation of boiler/heating system and energy conservation.
  • Maintain lighting and heating; routine plant maintenance.
  • Requisition adequate fuel.
  • Document usage of fuel, water and electricity.
  • Replace lamps, tubes and plugs to a height of 3.35 m using appropriate equipment.
  • Inspect and report defects on firefighting equipment.
  • Chemical dosing, cleaning and maintenance of swimming/hydrotherapy pool water levels.

Cleaning

  • Clean the premises (excluding school‑meal accommodation).
  • Plan, organise and control cleaning staff where appropriate.
  • Plan periodic work in consultation with service users; report plans to the designated line manager.
  • Recommend and implement changes to improve economy, standards or operation.
  • Monitor suitability of materials and light equipment; advise on inappropriate items.
  • Keep hard surfaces, paths and ornamental grounds clean and litter‑free.
  • Clean external surface drains, gullies and kitchen grease‑traps.
  • Wash and clean bins (including school‑meal bins); empty litter bins daily.
  • Provide ongoing cleaning service to address spills, flooding, midday toilet cleaning and weather‑related issues.
  • Replenish toilet rolls, soaps, paper towels and other requisites throughout the day.
  • Inspect sandpits daily and clear sand from fouled areas; replace contents as required.
  • Clean external signs, light covers and notices up to 3.35 m.
  • Clean non‑electrical fittings on portable heating and ventilation equipment.
  • Maintain appropriate supplies of materials and light equipment within budget.
  • Report defects in cleaning equipment.
  • Prepare premises for after‑school activities; clean and prepare the school for normal use.
  • Direct and clean all internal fixed glass surfaces up to 3.35 m using suitable equipment.
  • Ensure cleaning staff wear personal protective equipment (PPE) or workwear where provided.
  • Ensure cleaning standards meet Education Authority standards; investigate complaints and advise the line manager.

Porterage

  • Receive and transport stores, materials and goods, including school‑meal supplies, to appropriate storage points.
  • Dispatch laundry, goods and other materials from the building.
  • Assist with setting out and removal of tables and chairs for rooms used for education and food consumption; responsible for cleaning the room.
  • Transport all refuse bins to and from the collection point.
  • Prepare rooms for examinations and other purposes.

Administration

  • Prepare reports on premises cleaning and defects.
  • Authorise employment of external contractors or workmen via the Education Authority reporting system; monitor their presence and report deviations.
  • Complete all paperwork associated with the post.
  • Maintain records of consumable stocks and equipment inventory.
  • Report electrical floor equipment defects immediately; keep a record of repairs and safe storage of equipment.
  • Complete staff attendance, holiday, and absence records; submit to the Education Authority in a timely manner.

Handyperson Duties

  • Perform tasks within the competence of the post‑holder.
