This is a *Sheffield* Hybrid based role with an excellent immediate start within a Public Sector organisation working on *Monitor and support supplier performance against contractual KPIs and service level agreements.*
The Opportunity
We are seeking an experienced Assistant Workplace Manager to support the delivery of workplace services across a significant regional property portfolio. This is an excellent opportunity for a facilities management, workplace services or property operations professional with strong supplier management and contract delivery experience.
Working within a dynamic Workplace Service Delivery team, you will play a key role in ensuring supplier performance, contractual compliance, operational effectiveness and customer satisfaction across multiple sites. You will work closely with internal stakeholders, external service providers and specialist teams to drive service excellence and support the delivery of safe, compliant and high-performing workplaces.
This role offers exposure to complex facilities management operations, contract governance, workplace technology platforms and strategic supplier performance management within a large-scale property environment.
Key Responsibilities
Supplier Performance & Service Delivery
- Monitor and support supplier performance against contractual KPIs and service level agreements.
- Manage and track work orders, service backlogs, planned preventative maintenance (PPM) compliance and delay approvals.
- Participate in supplier governance and performance review meetings, supporting continuous service improvement initiatives.
- Work collaboratively with supply-chain partners to ensure consistent delivery of workplace and facilities services.
Workplace Operations & Customer Experience
- Manage and coordinate customer issues, complaints and service requests, ensuring prompt resolution and escalation where required.
- Support the delivery of a positive workplace experience through effective stakeholder engagement and service management.
- Collaborate with operational teams across Health & Safety, Security, Engineering, Sustainability and Compliance functions.
Contract & Compliance Management
- Support contract management activities including variations, risk notices, contract notices and change control processes.
- Maintain accurate contract documentation, service schedules and property-related records.
- Assist with supplier audits, compliance reviews and action tracking.
- Support the delivery of contractual and statutory compliance requirements across the regional portfolio.
Risk, Reporting & Governance
- Monitor operational performance data and identify emerging risks and trends.
- Maintain operational risk registers and escalate issues where appropriate.
- Produce management information and performance reports to support decision-making.
- Ensure accurate data management across CAFM, CRM and workplace management systems.
Financial & Commercial Support
- Support billable works approvals and contract payment processes.
- Assist with contract spend analysis and commercial reporting.
- Maintain contract change control registers and supporting documentation.
Essential Experience & Skills
- Experience within Facilities Management, Workplace Services, Property Operations or Estates Management.
- Demonstrable experience managing supplier performance and outsourced service providers.
- Experience supporting contract delivery, contract management or service governance activities.
- Knowledge of facilities management services, including soft services, maintenance and operational support functions.
- Strong analytical skills with the ability to interpret operational data and performance metrics.
- Excellent stakeholder management, communication and relationship-building abilities.
- Ability to prioritise workload effectively and deliver results within challenging timescales.
- Experience working within a multi-site or regional property portfolio environment.
- Membership of the Institute of Workplace and Facilities Management (IWFM) or equivalent professional experience.
- Due to the nature of the projects supported by this role, the successful candidate must be eligible to work on security-sensitive programmes.
Desirable Experience
- Experience of building leases and landlord-managed environments.
- Experience of project management and operational improvement initiatives.
- Experience using CAFM, IWFM reporting or workplace management systems.
- Knowledge of Planon, Salesforce or similar workplace technology platforms.
- NEBOSH or IOSH Health & Safety qualification.
- Understanding of operational risk management and compliance frameworks.
- Awareness of emerging technologies and AI applications within Facilities Management and Workplace Services.
