Job Title: Finance Assistant
Reporting To: Accounts Manager
About the Role
To support the Accounts Manager in the day-to-day financial operations of a busy construction and maintenance business, ensuring accurate financial records, timely processing of invoices and payments, and effective financial administration across multiple contracts and workstreams.
Key Responsibilities
- Process supplier invoices accurately and in a timely manner
- Match invoices to purchase orders, job numbers, and SOR codes where applicable
- Reconcile supplier statements and resolve any discrepancies
- Prepare for review weekly/monthly payment runs
- Raise sales invoices in line with completed works, valuations, and client instructions
- Chase overdue payments in a professional manner to support cashflow
- Maintain accurate customer account records
- Maintain organised and up-to-date financial records and filing systems
- Assist with payroll input (timesheets, subcontractor payments if applicable)
- Support month-end processes, including reporting and reconciliations
- Assist with VAT returns and compliance documentation
Construction‑Specific Duties
- Work closely with operational teams to ensure correct coding of jobs, variations, and costs
- Support valuation processes and financial tracking of works (voids, repairs, planned works)
- Monitor subcontractor costs and ensure accurate cost allocation to projects
- Assist in tracking KPIs, budgets, and financial performance of contracts
General Office Support
- Provide administrative support to the wider office when required
- Maintain confidentiality and professionalism at all times
Skills & Experience Required
- Previous experience in a finance/accounts role
- Strong knowledge of purchase ledger and/or sales ledger processes
- Good IT skills, including Excel and accounting software (Xero)
- Excellent attention to detail and organisational skills
- Ability to work in a fast-paced office environment
