Temp Legal Secretary – Digital Business Department

Owen Reed is looking for an experienced and highly‑organised Temp Legal Secretary to support the Digital Business department. The role is immediately available and starts after the New Year. The successful candidate will manage a busy workload, provide exceptional administrative and document support, and ensure fee earners can focus on delivering legal services.

Key Responsibilities

  • Manage diaries, schedule internal and external meetings, and resolve clashes.
  • Book meeting rooms, video conferences, travel, restaurants and transport.
  • Monitor inboxes, prioritise emails and respond or file on behalf of fee earners.
  • Handle internal and external calls professionally and take clear messages.
  • Arrange international travel, itineraries, expenses and currency orders.
  • Handle scanning, printing, photocopying and delegate large‑volume tasks appropriately.
  • Manage document filing, archiving and electronic systems.
  • Support billing processes including AX administration and timely submissions.
  • Assist with time recording (Rekoop) and exception monitoring.
  • Maintain and update client contacts in InterAction and prepare reports ahead of meetings.
  • Support SharePoint updates and team information management.
  • Assist with event RSVPs, delegate lists, materials and BD‑related activity tracking.
  • Prepare and format presentations, reports, legal documents and correspondence.
  • Proofread all work to ensure accuracy and high‑quality output.
  • Produce agendas and meeting papers, ensuring timely distribution.
  • Format bids, pitches and capability statements in Word and PowerPoint.
  • Prepare materials for training, seminars and conferences.
  • Maintain and update fee‑earner CVs on CV Bank and support quarterly CV reviews.

About You

  • Previous experience as a secretary in a professional services environment.
  • Strong Microsoft Office skills and experience using house styles.
  • Confident working with document management, CRM and PDF/OCR software.
  • Excellent organisational and communication skills.
  • Strong client‑service focus with the ability to prioritise in a fast‑paced environment.
  • High level of accuracy, attention to detail and professionalism.
  • Able to work effectively within a diverse and inclusive team.
  • Flexible with working hours when required.
