Job Description:

  • Act as the main point of contact for patients undergoing high‑end treatments such as Invisalign, implants, facial aesthetics, composite bonding, smile makeover, and other private procedures.
  • Attend consultations and discuss proposed treatment plans, finance options, and next steps with patients.
  • Provide consistent follow‑up to encourage patient uptake, answer queries, and support patients through decision‑making.
  • Contact and book patients weekly for all open private treatment plans across all clinicians.
  • Ensure patient comfort and communicate sensitively with anxious, nervous, vulnerable, or non‑native English‑speaking patients.

2. Clinical & Administrative Support

  • Work closely with Invisalign and implant dentists to coordinate clinical workflows and monitor active/open treatment plans.
  • Maintain accurate and compliant clinical records in accordance with practice policies, legal guidelines, and regulatory standards.
  • Report equipment failures and support with medical/dental emergencies when necessary.
  • Undertake mandatory training and follow all health & safety, COSHH, RIDDOR, safeguarding, confidentiality and data protection requirements.

3. Marketing & Practice Growth

  • Manage and grow the practice’s social media presence (Facebook & Instagram).
  • Keep website content and marketing materials up to date.
  • Coordinate and lead open days for high‑end treatments (e.g., Invisalign, implants).
  • Develop and run targeted marketing campaigns.
  • Encourage patient uptake of Denplan/practice plans across all sites.
  • Respond to online reviews and maintain a strong brand image.

4. Operational Duties

  • Ensure diaries are filled across all clinics and support reception teams in their communication style with patients.
  • Assist on reception when needed.

5. General Responsibilities

  • Build strong working relationships with the dental team across all practices.
  • Participate in practice meetings, KPI reviews, and CQC‑related processes.
  • Adhere to uniform and PPE policies and maintain a consistently professional appearance.
  • Support any duties reasonably requested by the Practice Manager to ensure smooth practice operation.
  • Be flexible with responsibilities to meet business needs across multiple sites.

Skills & Experience Required

  • Excellent communication and interpersonal skills.
  • Strong organisational abilities and attention to detail.
  • Professional, confident, and patient‑focused approach.
  • Good understanding of dental treatments, finance options, and practice workflows.
  • Competence with dental software (Dentally and DenGro).
  • Experience with social media management is desirable.
  • Ability to handle sensitive conversations and provide empathetic patient support.
  • Able to work independently and as part of a multi‑practice team.
