Operational Service Assistant – IPOCH

The posting is within the Mid Cheshire Hospitals NHS Foundation Trust, part of Central Cheshire Integrated Care Partnership. The Operational Service Assistant will provide comprehensive administrative support to the Community Teams. The post holder will organise their workload, coordinate activities in partnership with the Community Coordinator, and act as a flexible resource across the CCICP footprint to ensure continuity of services. They will have direct contact with service users, carers, the public and internal and external stakeholders and will apply initiative in supporting team colleagues.

Main duties of the job

  • Provide administrative support to Community Teams and associated clinical services: manage calls, referrals and support clinical staff in responding to health needs of the population, including processing patient flow and monitoring waiting times.
  • Support the Community Coordinator in liaising with internal and external services, including clinical and non‑clinical staff, regarding referrals, appointments, patient records and multidisciplinary meetings.
  • Make, receive and respond to a variety of enquiries, using appropriate communication and judgement skills to resolve them personally where possible or escalation to relevant team members.
  • Build and maintain constructive relationships with internal and external stakeholders to improve effectiveness and efficiency of services and to signpost to other services where appropriate.
  • Understand and apply Trust policies around providing and receiving information to/from parents/carers/advocates on behalf of the patient.
  • Assist cross‑cover of other administration staff, offering flexibility regarding working hours and workload.
  • Support the Community Teams with audits, reports and measurement activity, managing databases, obtaining information and presenting results.
  • Help the Community Teams use resources efficiently, e.g. equipment, supplies and materials.
  • Carry out any additional duties delegated by the Community Coordinator or other Senior Manager.

Qualifications

  • 5 GCSEs grade C or equivalent, including English and Maths.
  • ECDL or equivalent.
  • Level 3 Business Admin or Team Leading Qualification.

Skills and Knowledge

  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Strong organisational skills, ability to prioritise workload and manage time effectively.
  • Initiative, problem‑solving skills and good interpersonal skills.
  • Commitment to continuous improvement of systems and processes.
  • Understanding of confidentiality and Data Protection.
  • Supervisory skills and training.
  • Knowledge of medical terminology.

Experience

  • Previous experience of unsupervised administrative work in a busy office environment.
  • Experience working in a health environment.
  • Experience using healthcare systems such as EMIS, DCS, Civica.

Physical Skills

  • Cleared by Occupational Health to undertake the duties of the role.
  • Ability to perform a range of duties as per the job description.
  • Capacity to meet the demands of the role.
