Event Assistant

The Role

As an Event Assistant, you will provide administrative and operational support across the planning and delivery of B2B events and experiences. You will assist with event logistics, supplier coordination, attendee management, and project administration to help ensure events are delivered efficiently and to a high standard.

This is an entry-level opportunity for someone looking to develop a career within event marketing and gain hands‑on experience across all stages of the event lifecycle.

Responsibilities

Administrative Support

  • Provide day‑to‑day administrative support across event projects and team activity
  • Assist with scheduling, meeting coordination, note taking, and document management
  • Maintain project trackers, timelines, and event documentation

Event Planning & Coordination

  • Support event logistics, operational requirements, and project coordination
  • Assist with venue research, attendee registration, travel, accommodation, and supplier communications
  • Help prepare event schedules, materials, and operational documents

Vendor & Supplier Support

  • Liaise with vendors and suppliers to confirm schedules and delivery requirements
  • Assist with collecting supplier quotes and maintaining vendor records
  • Ensure contracts, invoices, and supplier documentation are organised and up to date

Onsite Event Support

  • Assist with event setup, registration desks, signage, and attendee guidance
  • Support onsite logistics and operational delivery during live events
  • Assist the wider team with troubleshooting and coordination onsite

Budget & Team Support

  • Support expense tracking, invoice processing, and financial administration
  • Assist with maintaining project and budget records
  • Support internal team initiatives, research, and event marketing activity where required

Requirements

  • Preferable qualification or studies within Event Management, Business, Marketing, Hospitality, or related field
  • Strong organisational and time management skills
  • Excellent communication and interpersonal abilities
  • Positive, proactive, and collaborative approach
  • Strong attention to detail and willingness to learn
  • Ability to manage multiple priorities within a fast‑paced environment
  • Proficiency in Microsoft Office and collaboration tools
  • Flexibility to support onsite event activity, including occasional evenings and weekends
