Duration, Location, and Working Pattern
- Glasgow Dental Hospital
- Monday to Friday, 09:00 to 17:00
- Fixed‑Term for 12 months
Key Responsibilities
- Provide high‑quality clerical support to ensure patient records and information are accurate, accessible and up to date.
- Manage patient case notes and electronic records, ensuring confidentiality and data protection standards are adhered to at all times.
- Respond to telephone and face‑to‑face enquiries from patients, relatives and healthcare professionals in a professional and timely manner.
- Support outpatient clinic activity, including appointment booking, rebooking and maintaining clinic schedules.
- Process correspondence and maintain effective communication across multidisciplinary teams and external organisations.
- Update and maintain patient management systems such as TrakCare, ensuring data accuracy and supporting service delivery.
- Assist with general administrative duties, including mail handling, filing and providing cover for colleagues as required.
Knowledge, Training, Qualifications and/or Experience Required
- National 4 or equivalent qualification, including English, is desirable.
- Previous clerical, administrative or reception experience ideally within a healthcare setting.
- Confident IT skills with experience using Microsoft Office and data systems.
- Strong organisational skills with the ability to prioritise workload and meet deadlines.
- Excellent communication and interpersonal skills with a patient‑focused approach.
- Ability to work independently, use initiative and adapt in a busy environment.
- Resilient and professional approach with the ability to manage sensitive situations with empathy and discretion.
