Booking Clerk (J19236) Ballymena, Northern Ireland

Salary: £12.75 per hour + Car park

Role: Band 3 Booking Clerk

Rate of Pay: £12.75ph

Location: Ballymena

Hours: 37.5

Duration: Three months

Main Duties / Responsibilities:

  • Process and register patient referrals, appointments, and admissions in line with PAS, IEAP guidelines, and hospital protocols
  • Maintain accurate patient records, validate demographic details, allocate hospital numbers, and update systems where required
  • Manage outpatient, theatre, and waiting list bookings, ensuring patients are scheduled in chronological order within waiting time targets and cancer standards
  • Coordinate urgent, routine, review, and direct-to-test appointments, issuing letters, leaflets, confirmations, and reminders
  • Monitor PTL, clinic capacity, cancellations, and shortfalls, escalating risks to waiting time breaches or capacity issues
  • Handle high volumes of incoming calls professionally and sensitively, including urgent, complex, or challenging enquiries
  • Liaise with GP practices, consultants, wards, ambulance, interpreting services, Cancer Services, and other Trusts to support patient pathways
  • Ensure compliance with IEAP, 6‑4‑2 scheduling model, and access standards, including validation and escalation of issues
  • Support waiting list validation, data quality checks, correction reports, and removal of patients where appropriate in line with protocols
  • Train and support new staff on booking systems, PAS, and departmental procedures
  • Deliver accurate, confidential, and patient‑focused service while ensuring effective communication and customer care standards

Qualifications / Experience:

  • NVQ Level 3 in Administration (or equivalent) with 1 year clerical/administrative experience and 1 year customer‑facing experience
  • 5 GCSEs (A–C) including English (or equivalent) with 2 years clerical/administrative experience and 1 year customer‑facing experience
  • 3 years’ clerical/administrative experience within a hospital setting plus 1 year direct customer service experience

Successful candidates may need to apply for an Access NI Certificate with Staffline regardless if you already have a valid certificate.
