We are looking for an experienced and motivated Receptionist (S1) to join our welcoming team at The Paddock Surgery. This is an exciting opportunity for someone who is passionate about delivering excellent patient care and thrives in a busy GP practice environment.

As the first point of contact for our patients, you will play a vital role in providing a professional, compassionate, and efficient service to the local community. Reception experience is essential, and previous experience working within a GP practice or NHS setting would be highly advantageous. We are looking for someone with excellent communication and organisational skills, who can remain calm under pressure and provide outstanding customer service in a fast-paced environment.

Main duties of the job

The successful candidate will provide a friendly and professional front-line reception service to patients and visitors, handling appointments, telephone enquiries, and administrative tasks efficiently within a busy GP practice. The role involves working closely with clinicians and the wider practice team to ensure patients receive excellent customer service and support. Candidates must be confident using computer systems, able to manage a fast-paced workload, and demonstrate strong communication and organisational skills at all times.

Our clinical team consists of 3 GP’s, 1 Advanced Clinical Practitioner (ACP), 1 Advanced Nurse Practitioner (ANP), 2 Physician Associates (PAs), 1 Paramedic, 1 Practice Nurse, 2 Healthcare Assistants (HCAs), 1 Nurse Associate (NA), a Care Coordinator (CC) and a GP Assistant (GPA), all working alongside the Practice Manager and supported by an experienced reception and administration team.

Job responsibilities

Main Duties and Responsibilities

  • Greet patients and visitors in a courteous and professional manner
  • Manage incoming telephone calls and respond to patient enquiries efficiently
  • Book, amend, and cancel patient appointments using the clinical system
  • Register new patients and update patient records accurately
  • Process repeat prescription requests in line with practice procedures
  • Handle incoming and outgoing correspondence, including emails and letters
  • Scan and file clinical documents accurately onto patient records
  • Signpost patients to the most appropriate clinician or service
  • Maintain patient confidentiality and comply with GDPR requirements
  • Support clinicians and the wider practice team with administrative tasks
  • Manage workload effectively and prioritise tasks within a busy environment
  • Ensure the reception area remains tidy, professional, and welcoming
  • Participate in team meetings and mandatory training as required
  • Follow all practice policies, procedures, and health & safety guidance

Person Specification

Experience

  • – Previous reception and administrative experience within a GP practice is essential
  • – Experience of working within a busy NHS primary care environment
  • Excellent communication and customer service skills
  • – Ability to manage confidential and sensitive information appropriately
  • – Experience handling patient enquiries both face-to-face and over the telephone
  • – Ability to work effectively under pressure and prioritise workload
  • – Good IT skills and experience using clinical systems
  • – Strong organisational skills and attention to detail
  • – Ability to work independently and as part of a team
  • – Professional, reliable, and approachable manner
  • – Experience using GP clinical systems
  • – Understanding of NHS primary care services and pathways
  • – Experience processing repeat prescriptions and managing referrals
  • – Experience scanning and coding clinical documents
  • – Knowledge of GDPR and patient confidentiality requirements
  • – Experience signposting patients to appropriate services
  • – Ability to support and mentor new staff members
  • – Flexible approach to working hours and duties
  • – Experience working within a multidisciplinary team environment
