Receptionist/Administrator, Cardiology

Job responsibilities

  • Act as the first point of contact for all patients and visitors to the cardiology department.
  • Provide administrative support for the clinical staff, including scanning of historic reports to Evolve.
  • Ensure patients’ request forms are available and correctly prepared for diagnostic tests and pacing clinics.
  • Book all clinical appointments and ensure correct patient and test details are entered into the booking system.
  • Maintain patient confidentiality at all times.
  • Handle telephone enquiries professionally and courteously, liaising with GPs and other healthcare colleagues.
  • Manage and file correspondence, photocopying and record‑keeping efficiently.
  • Alert clinical staff to patient delays or concerns regarding presenting conditions.
  • Resolve data errors with clinical staff and identify areas for improvement.
  • Retrieve and file medical records and pacing notes, ensuring proper tracking.
  • Coordinate with consultants for investigation reports.
  • Use initiative to resolve problems and complaints, referring to senior staff when necessary.
  • Manage workload flexibly, prioritise tasks and cover for colleagues as needed.
  • Assist in training new or temporary staff.
  • Identify and report equipment faults promptly.

Qualifications and Experience

  • English GCSE Grade C or equivalent.
  • Computer literate with Microsoft Office (Word, Excel) and internet usage.
  • Minimum of two years of administration experience.
  • Experience working in a busy office with conflicting demands.
  • Literate with Cerner / Solus.

Knowledge and Skills

  • Understanding of data protection.
  • Ability to work independently.
  • Proficient with Microsoft Office and Windows.
  • Excellent written and verbal communication skills.
  • Capable of filing, scanning and carrying files.
  • Ability to work extended hours.
  • Knowledge of the six‑week diagnostic waiting list targets.
  • Knowledge of hospital information systems.
