Job summary

This role provides administrative support to various teams and Heads of Department within Amundi (UK) Limited, including:

  • Acting as a first point of contact and sharing workload responsibilities with other members of the Administration team.
  • Supporting Heads of Department / Management team.
  • Organising business trips: booking flights, hotels, taxis, and scheduling itineraries, and resolving sudden changes.
  • Calculating, processing and controlling expense claims for approval.
  • Protecting and ensuring the confidentiality of all information.
  • Acting as a ‘gatekeeper’ for diaries, proactively avoiding clashes and finding resolutions.
  • Preparing general correspondence, drafting responses, organising incoming and outgoing mail and courier services.
  • Supporting team members as needed, handling overseas visitors’ agendas.
  • Scheduling senior‑level meetings, preparing documents and taking meeting minutes.
  • Providing admin/facilities support, liaising with the Paris office, printing and collating documentation.
  • Organising ad‑hoc internal and external meetings and client events; creating promotional posters/material.
  • Maintaining the London Branch SharePoint (intranet).
  • Providing reception & holiday cover, and admin annual leave coverage for the admin team.
  • Updating attendance reports.

Experience & qualifications

  • Self‑starter with a “can‑do” attitude, willing to adapt and take on challenges.
  • Highly organised, excellent multi‑tasking, time‑management skills and a team player.
  • Strong Microsoft Office skills (Outlook, PowerPoint, Excel).
  • Ability to independently assess issues and initiate solutions.
