This is a key administrative role within the Safeguarding Team, providing high-quality administrative coordination support to senior clinicians and professionals working in adult safeguarding. The post-holder will play an important part in ensuring the smooth running of the service by managing correspondence, audio typing, minute taking, maintaining accurate records, and supporting the organisation of meetings and safeguarding processes.

The role also involves handling sensitive information, supporting data collection for audits, and working closely with colleagues across health and social care services.

Main duties of the job
The post-holder will provide high-quality, proactive administrative support to the Safeguarding Team, ensuring the smooth and efficient running of daily operations. You will be responsible for audiotyping, minute taking, preparing professional correspondence, and ensuring accurate and timely communication with internal and external stakeholders, including GPs and partner agencies.
A key part of the role involves managing shared inboxes and telephone enquiries, prioritising workload effectively, and ensuring requests are dealt with in a professional and timely manner. You will support the coordination of meetings, including arranging venues, scheduling, and circulating documentation, while maintaining accurate and confidential electronic records.
You will also support the processing of safeguarding-related documentation and assist in gathering information for audits and reporting purposes. Working collaboratively with colleagues across the team, you will need excellent organisational skills, attention to detail, and the ability to manage competing priorities in a busy environment, while maintaining a high level of professionalism and confidentiality at all times.

Job responsibilities
Job Purpose:
To provide comprehensive administrative and secretarial support to senior specialists, nurses, and other staff within the Safeguarding Team, under the direction of the Associate Chief Nurse for Safeguarding and Complex Care and the Named Professional for Safeguarding Adults.
Be willing to travel to meetings and, when required, working from alternative sites to meet service needs.
Duties and Responsibilities:
Prepare, audio-type, and minute professional correspondence, including reports and letters to general practitioners (GPs), service users, and external agencies, ensuring accuracy and completion within required timescales.
Work collaboratively with other Safeguarding Administrators to provide coordinated administrative support to the wider Safeguarding Team, ensuring an efficient and responsive service.
Support the organisation of meetings, including booking rooms, arranging schedules, and distributing relevant documentation.
Maintain confidential records and documentation, ensuring that all filing and storage of records is carried out accurately and in accordance with information governance and data protection requirements.
Process legal documentation, including Deprivation of Liberty Safeguards (DoLS) Form 1 applications, and accurately input and maintain information on the team’s databases and electronic record systems.
Answer and manage telephone calls professionally, taking messages, responding to enquiries where appropriate, and directing calls to the relevant members of the team.
Support the gathering, collation, and preparation of information and documentation required to assist with audits, service reviews, and reporting requirements.
Monitor and manage the team’s generic email inboxes, ensuring enquiries and correspondence are actioned promptly and appropriately.
Ensure all administrative tasks are completed to a consistently high standard, contributing to the smooth and efficient operation of the Safeguarding Team.

Experience
- Proven experience in providing comprehensive administrative and secretarial support within a busy office environment.
- Experience of audio typing, minute taking, and producing professional correspondence and reports.
- Experience of maintaining confidential records and using electronic databases and record systems.
- Experience of answering telephone enquiries and managing shared email inboxes.
- Experience of organising meetings, booking rooms, and coordinating documentation.
- Experience of working collaboratively within a team and prioritising competing workloads.
- Experience of working within safeguarding, healthcare, social care, or a related public sector setting.

Qualifications
- Good standard of general education, including English and Mathematics (GCSE grade C/4 or equivalent) or equivalent numeracy and literacy skills.
- Previous administrative experience.
- Typing qualification or demonstrable experience of accurate audio typing and minute taking.
- National Vocational Qualification Level 3 in Business and Administration or equivalent qualification.
