The Role
NHSGGC is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non‑clinical professions. The eHealth Directorate aims to deliver and maintain an integrated information, technology and record management strategy to provide accurate information in the right place at the right time, supporting diagnosis, treatment and care, continuous improvement of public health, and effective integration with local authority partners. This includes patient case notes for clinicians in community, primary care, outpatient clinics, inpatient admission, and discharge, electronic information systems for clinical and management use, and collection and analysis of data required by the Scottish Government Health Department for local monitoring, performance, surveillance and public health protection.
Duration, Location, and Working Pattern
- Full time permanent post.
- Work hours: Monday to Friday, 08:30–16:12/30.
- Contractual base: Admin Building, Gartnavel Royal Campus; initial base at Gartnavel Royal Hospital, with potential relocation to any GGC site.
Key Responsibilities
You will operate the TrakCare patient management system, ensuring all information is accurate, up to date and compliant with GDPR and Caldicott principles. Responsibilities include maintaining electronic tracer systems, updating records, recording delivery of scanning folders, and managing telephone and face‑to‑face enquiries from NHS staff, patients, relatives, carers and external agencies. Additional duties involve sorting and handling internal and external mail, filing and tracking case records, supporting the condensation of multi‑volume records, and extracting records for admissions, outpatient clinics and authorised personnel. The role demands high standards of confidentiality, accuracy and organisation, and effective teamwork in a fast‑paced NHS environment.
Qualifications and Experience Required
- National 4 or Level 1 qualification in three subjects, including English or equivalent.
- General administration and office experience (or previous clerical experience) desirable.
- Computer literate with good keyboard skills.
- Previous reception experience desirable.
- Prior experience of using a Patient Management System desirable; training will be provided.
- Good organisational, prioritising and deadline‑management skills.
- Strong communication, verbal and interpersonal skills.
