Medical Records Supervisor

We are inviting applications for the position of Medical Records Supervisor to join the Patient Services Team at Newark Hospital. The role involves supervising staff in the Case Note Store and Clinic Prep areas, ensuring case notes are prepared efficiently for outpatient attendances and emergency admissions. This part‑time role is based primarily within Medical Records, with cross‑covering Outpatients during periods of leave.

Key responsibilities

  • Day‑to‑day supervision of staff and support in locating, preparing, and providing case notes.
  • Assist with recruitment and selection, oversee induction and training in collaboration with departmental trainers.
  • Manage sickness reporting and return‑to‑work interviews.
  • Prepare and adjust staff rotas to maintain service continuity.
  • Provide support to the Clinic Reception Team in the absence of the Associate Manager and help maintain smooth operational flow across both areas.

Qualifications

  • Computer literate with excellent keyboard skills (RSA I equivalent) and ability to use spreadsheets.
  • Confidentiality procedures.
  • Current knowledge of NHS issues and understanding of targets affecting case note store and OPD.
  • Knowledge of 18‑week pathways.
  • Working knowledge of PAS and the NHS in general.
  • Good general education including English GCSE at grade C or above (or equivalent).
  • Education/Ability equivalent to A level standard.
  • HRIM Certificate or equivalent level of knowledge.
  • European Computer Driving Licence.

Experience

  • Experience of working in clinic prep patient admin at a supervisory level, including OPD clinics and case note store.
  • Customer Care.
  • NHS experience.
  • Supervisory experience.

Contractual Requirements

  • Ability to work under pressure and adhere to strict deadlines.
  • Good team member.
  • Diplomatic and tactful.
  • Regular attender and flexible approach to work.

Further Training

  • Supervisory skills training or willingness to attend.

Salary

£25,760 to £27,476 per annum, pro rata.
