We are currently looking for a reliable and hardworking Operations Support Office to join our team in Cardiff.
Hours will be 05:00-13:00 Monday – Friday.
£14.59 p/h.
Key Responsibilities
- Reviewing daily Driver Daily Returns to ensure accuracy and correct order; preparing documentation for supervisor sign‑off and uploading to the system.
- Reviewing Overtime Driver Daily Returns, ensuring accuracy and correct sequencing; preparing for supervisor approval and uploading to the system.
- Checking Daily Defect Sheets with strong attention to detail, correcting errors, logging information, and uploading records accurately to the system.
- Ordering, managing, and restocking PPE supplies.
- Uploading and maintaining the Tacho Master Calendar.
- Printing, replacing, and maintaining all driver‑related forms, including overtime notices for boards, accident forms, Driver Daily Returns, vehicle left loaded forms, and annual leave forms.
- Gathering and verifying information relating to missing movements, out‑of‑hours (OOH) tickets, and ticket amendments when required.
- Managing driver sign‑in each morning, ensuring all devices are fully charged, correctly issued to crews, and HMO keys distributed as required; supporting over 130 drivers in a fast‑paced and high‑pressure environment.
- Taking full responsibility for HMO keys, including issuing, logging, tracking, and ensuring their return at the end of the day.
- Managing Housing Paid calls by uploading completed documentation to the system; covering the Housing Paid calls mailbox when required, creating call lists and contacting crews regarding overtime.
- Answering incoming phone calls from crews, taking messages from operators, passing information to supervisors, and handling calls from C2C efficiently and professionally.
Standard Day
- Helping sign in 287 staff; printing off manning for loaders and drivers, issuing keys, giving out tablets, maps and logging who has what tablet; updating spreadsheet, signing out mobile phones, etc.
- Sickness recording; supporting supervisors to swap runs and staffing levels.
- Driver day returns – all manual entry – paper based, going through paperwork ensuring relevant information recording and ensuring tickets are attached and names match up.
- Separating O/T and ensuring paid correctly.
- Checking driving hours against Tacos.
- Ensuring PPE orders – fully stocked and if office needs stationery etc.; onboarding new starters.
- Issuing keys and keeping logs as to who has what.
- Accurate record keeping – holidays, manning, sickness.
