Job Summary
To be responsible for undertaking a wide range of reception and administrative duties and providing general support to the multidisciplinary team. Duties may include greeting and directing patients, patient registration, booking appointments, processing information (electronic & hard copy), and assisting patients as required. The role acts as the central point of contact for patients, distributes information, messages and enquiries to the clinical team, and liaises with multidisciplinary team members and external agencies such as secondary care and community service providers.

Job Description
Core responsibilities include:
- Maintaining and monitoring the practice appointment system
- Processing personal, telephone and electronic requests for appointments
- Answering incoming phone calls, transferring calls or dealing with caller requests appropriately
- Signposting patients to the correct service
- Processing incoming and outgoing mail as needed / covering staff absence
- Initiating contact with and responding to requests from patients, team members and external agencies
- Processing calling letters as requested
- Processing all DNA letters in accordance with current policy
- Performing GP2GP tasks
- Reading code data on the clinical system
- Photocopying documentation as required
- Processing repeat prescriptions accurately and efficiently
- File and store records as required
- Data entry of new and temporary registrations and relevant patient information
- Inputting data into patient healthcare records as necessary
- Scanning patient related documentation and attaching scans to patient records
- Processing requests for information (SAR, insurance/solicitors letters, DVLA forms) to the administrative team
- Managing all queries (including administrative queries) efficiently
- Conducting system searches as requested
- Maintaining a clean, tidy, effective working area at all times
- Monitoring and maintaining the reception area and notice boards
- Supporting all clinical staff with general tasks as requested
Additional responsibilities may include:
- Partaking in audit as directed by the audit lead
- Providing cover during staff absences for administrative and reception staff
- Completing opening and closing procedures in accordance with the duty rota
- Ordering and monitoring stationery supplies
Person Specification
Experience desirable: Experience working in a GP Practice.
