Job Summary
Lea Vale Medical Group is looking for an organized, motivated Administration Assistant to support clinicians, colleagues, and patients in a busy GP practice. The role involves a varied range of administrative duties and offers an opportunity for career development, including apprenticeship after probation.
Main Responsibilities
- Provide comprehensive administrative support to ensure the smooth and efficient running of the practice.
- Process incoming clinical correspondence, accurately code diagnoses, procedures and investigations, and identify required follow‑up actions.
- Ensure all documentation is processed in a timely, accurate and confidential manner.
- Act on general clerial duties including scanning, post handling, filing and task management.
- Use digital systems such as Anima to manage administrative workflows, tasks and patient communication.
- Prioritise, action and allocate tasks appropriately in line with practice guidance.
- Maintain up‑to‑date electronic records in accordance with information governance requirements.
- Adapt to changes in digital systems and ways of working, with training provided.
- Identify complex, urgent or high‑risk information and raise safeguarding concerns or clinical risks promptly.
- Work in line with agreed practice protocols to support patient safety and continuity of care.
- Serve as a member of the team, collaborating with clinical and administrative staff.
- Provide cover for colleagues during sickness or annual leave when required.
- Contribute positively to team communication, service improvement and quality initiatives.
- Participate in training, induction and development activities to maintain skills and knowledge.
Qualifications & Experience
- Educated to GCSE level or equivalent.
- Excellent communication skills (written and oral).
- Strong IT skills and competency with Office and Outlook.
- Clear, polite telephone manner.
- Effective time management and organisational skills.
- Ability to work in a team and independently.
- Good interpersonal, problem‑solving and analytical skills.
- Understanding of confidentiality and safeguarding.
- Disclosing Check (DBS) required.
Desirable
- GCSE Mathematics & English (C or above).
- NVQ Level 2 in Health and Social Care.
- Experience in using SystmOne.
- Flexibility to work outside core office hours.
- Experience of working with the general public.
- Experience of administrative duties.
- Experience in a healthcare setting.
