Job Description:

Must have’s

  • Proven experience within administration, office support, or business support roles
  • Excellent telephone manner with confident communication skills
  • Strong interpersonal skills with the ability to build rapport quickly
  • Experience handling client queries and complaints professionally
  • Highly organised with strong attention to detail
  • Proficiency in Microsoft Office, particularly Excel and Outlook
  • Confident managing multiple priorities in a fast-paced environment

Nice to have’s

  • Experience as a PA, Executive Assistant, or senior administrator
  • Background within business centers, serviced offices, property, or corporate environments
  • Familiarity with CRM systems or booking platforms
  • Experience in a customer-facing or front-of-house role

So, what will you be doing?

  • Providing high-level administrative support to the Business Center Manager and wider team
  • Managing diaries, meeting room bookings, travel arrangements, and scheduling
  • Acting as the first point of contact for calls, emails, and visitors
  • Handling a high volume of calls with a professional and polished approach
  • Managing client queries, concerns, and complaints with a calm, solution focused mindset
  • Investigating issues, liaising internally, and ensuring effective resolution
  • Welcoming visitors and conducting engaging tours of the business center facilities
  • Presenting services and spaces confidently to prospective clients
  • Supporting the day-to-day operations of the center to ensure smooth running
  • Assisting with on boarding new clients, office moves, and coordination tasks
  • Maintaining high standards across meeting rooms and communal areas
  • Updating internal systems, databases, and CRM platforms
  • Identifying opportunities to improve processes and operational efficiency
  • Professional, confident, and approachable manner
  • Strong organisational and multitasking abilities
  • Calm under pressure with a proactive, solutions-driven approach
  • Positive and friendly attitude, with a focus on delivering excellent service
